August '24 Store Release What’s new in Compliance Case Management and Regulatory Change Management
all right thank you all hopefully everyone's having a good feeling you're awful quiet today in the chat but please don't be quiet during the webinar um we're really excited to be here to talk about what's new in regulatory change management and compliance case management we have two applications that we're actually talking about today so lots of amazing stuff and some amazing demos also and I'm very happy to be here with an an would you like to introduce yourself sure certainly thank you so much Teresa hello everyone good morning good evening and welcome everyone to another wonderful series of what what's new session my name is an part of the product management team I'm really excited to Showcase some of the new product innovations that we have done in the two new products it's going to be wonderful so stick around for some amazing demos but first we do have some housekeeping you are all placed on mute but again we want this to be interactive so please use that chat button at the we have now released new applications on the service now store um and this was a big big release we've spent the last couple of weeks going through it so if you've missed any of these again you can catch them on demand on our YouTube playlist couple weeks ago we talked about business management we went through risk management lots of amazing stuff happening there we talked about third party risk management and then last week we went over continuous authorization monitoring or Cam compliance and audit management this week we're kicking off with regulatory change management and compliance case management we're going to talk about AI powered recommendations rule-based alerts and Regulatory change and then we're going to switch over and talk about chatbot and our agency um library in compliance case and we're wrapping up the series tomorrow with privacy management so be sure to tune in for that it's going to be amazing with some great new enhancements in personal data rights with that I'm going to turn it over to an noop to take you through some slides short slides talking about what we've done and then get to that demo awesome thank you so much Teresa so I'll try to take the control and I'll start sharing the screen absolutely and again use that use that chat at the bottom of your screen so that you can um ask questions because Lots happened yep thank you so much Teresa so hello everyone once again I would like to welcome you to another wonderful series on showcasing the product new Innovations on regulatory change and as compliance case product but before we proceed on that let me just take walk you through a kind of a glimpse on what are the key elements in a regulatory change process though the slide is pretty heavy but it gives you an outline on what are the key activities that we are trying to focus on increasing some of these areas if you look at it on the extreme left hand side you basically it starts with the whole process of identifying monitoring those regulatory changes and these regulatory changes could be a draft regulations final Publications enforcement letters someone like a domain expert who can take the action to identify which are the necessary impact that needs to be performed and that's where the secondary stage of the life cycle kicks in to understand which is the scope of impacted business areas or the day-to-day business operations are likely to be impacted and secondly if it is deemed applicable in nature we kind of do a detailed risk assessment using our Advanced risk assment agent to determine what is the overall compliance impact with respect to the regulatory change based on the results that has been collected that will influence your whole direction to set up an applicability flow in other words that's where you determine what is your implementation process that needs to be kickstarted what are the action plans do you want to update your policies or revise your existing controls in reference to your citations that have been documented and you can also bring in a lot of collaboration capability which is where we invite a lot of stakeholders be it from compliance team legal Finance to ensure everyone's voice is heard if there are any discrepancies such as regulat deviations or any findings you can report them which eventually helps us to ensure that you are aligning with the latest regulatory change this is a continuous process we ensure the our system is tailored to adapt your needs so as to stay compliant and resilient for the business needs now in the next slide I'm just going to focus on what are the new capabilities that has been added in the Zano release if we focus on those areas which has been highlighted as new these are the new add-ons or I would say the new capabilities which is going to improve your whole process of managing regulat change a bit of a background we focused on key areas for this particular Zan release touching upon AML Automation in not to mention including the user experience also plays a major role and of course lot of Enterprise wide adoption themes which are more essential to keep ourselves updated so on top of the list as you see what we have is a rule engine framework which allows you to automatically set up a rule criteria which sets out filtered regulatory feeds be it Financial legal to certain domain experts belonging to the compliance group in addition to that once those feeds have been brought in we are also introducing an air power recommendation service which allows you to basically surface you the most relevant citations which means we are looking into your existing Library citations to give you those recommendations up front the beauty over here is it improves your whole discoverability experience so that you're hooked on to the application and perform the necessary operations the remaining set of the life cycle remains as it is but there are a lot of cool new updates coming up in the subsequent road map Cycles let me just brief you a high level summary this is the high level features that we' have addressed as part of the regulatory change management product the first one is about the AML power recommendations in a moment I'll explain that in depth second one is about the rule based regulatory alert so that you can assign to The Domain experts for quick in uh intake and review and last but not the least is a next experience chat collaboration which means you can allow the compliance experts as well as the legal experts to review what are the implementation plan that is being surface for consideration now let me just focus on the first item this is a cool Innovative feature that is been added as part of the zened release we now realize that for the compliance individuals when they're ring n number of these regulatory alerts which happens to be surfacing on close to daily 200 plus regulat feeds the amount of information that needs to be helping a compliance individual is Impractical in nature you need a system which will help you to essentially find out these are your relevant citations or the most important ones where you can actually perform a detailed analysis the current approach which is rudimentary nature because you have to essentially find out based on certain keywords based on topics or even based on a human intervention you to identify is it the right citation or is the right requirement for you or not and at the moment I'll explain that but ultimately what we are trying to help the users is to ensure they are able to find out what is the most relevant Citation for you it looks into various factors which I will explain during the live demo and last but not the least it also helps you to reduce a whole time saving aspect because in the past you had to literally apply certain keywords filters to get the right Citation for you and that can be omited with the new aout recommendation which exposes that information right in front of your screen with that being said let me just take you through a quick D live demo and again this is something which has been now made available as part of Zano release so for this I'm going to impersonate as a compliance manager SL the regulatory change individual who has been receiving a lot of regulatory feeds on his dashboard as I have logged in I'm just going to switch the view in the list view where I have actually narrowed down my focus on two major areas one is related to remittance transfer and the other one is of course fraud now there is some part particular regulatory feed which has been brought in from Consumer Financial production Bureau that caught my attention let's go ahead and review this in depth and find out what is the level of action that is been performed as a reader or as an individual where they received regulat feed is coming from a public Source you can get to the level of details to perform those necessary action we also provide you the taxonomy information which is nothing more about kind of a classification list to dictate the regulatory feed is coming from so and so sources which sector it belongs to and likewise now in the past prior to zanadu what used to happen is by the Upon A Qui glance of this Regulatory Field we have to identify which are those impacted citations for you when I say impacted citation you have to Reg find out those inventory of citations assuming it's already existed and make those Association up print manually what we are now empowering here is we are introducing a new AI power recommendation on the sidebar panel which gives you those top 10 top 15 which is also configurable in nature for you to make those right decision now what this means is it looks into various details of the regulatory feed as you see on this panel which talks about the title the detail description source and also it looks into the details of the citation record so when we talk about citation it looks into the requirement detailed description its title and more detailed uh deep contextual information as well that is which regulation is issuing this particular citation as well so as you see in this record even though displays the top 10 you can scroll top to the bottom to find out which is the most important one of course we also provide you that information which is the most highest confidence score again this is a based on an ml model which trains and looks into your existing inventory of citation if there is a close match by looking into various of this information it'll boost that confidence score so as a user looking at this information you can take the choice to say either you ignore it or accept which means based on this acknowledgement response it will now be residing in the impacted area cue so as for this particular example as you might notice it gives a confidence score of 70% which is a very good score to dictate that this might be a closest citation in reference to the remittance transfer that I'm looking in so it looks into all those relevant keywords including the authority talk to make the right choice let's go ahead and take the action to say associate and if there are certain uh records of the recommendations which are non-relevant based on your domain expertise you can go ahead and ignore we also provide a quick Glimpse on the summary of those actions which is now been enabled within the history view so it kind of gives you a short summary of those user actions that has been performed now what is the final outcome based on all these action that has been laid out for you you can take a quick action to say I'm now ready to perform an implementation strategy which is kind of an action plan an action plan to date that these are the associated control objectives for this particular site ation record which has to be revised or even updated so all of those are now connected in an NN story so the moment the user decides that it is applicable for ensuring this change is relevant to your business you can state that action and immediately it generates an action flow so that the respective owners can go ahead and update the whole process either create or update depending upon the nature of the regulatory change all of those actions can be controlled now this is one of the first item that we've added as part of the Z release we are continuously working on improving blot of new additional capabilities when we talk about recommendations to support recommended control objectives recommended policies and much more in future release lot of cool stuff coming up in the next subsequent roadmap release Cycles do watch out for more interactive sessions and if you are interested please feel to drop me a note you can actually drop me a note over your email but no charge right absolutely that's exactly correct and just an fi there uh what we trying to do is from again this is more from a techn functional background we look into your existing Library citations we look into the detail details of the regulatory feed and try to put up an ml model which will help us to train what needs to be surfacing you the most recommended citation up front we also do have configuration support to decide how many number of those recommendations has to be listed be it from 10 15 again those are based on customer preference that can be configured in nature so there are a lot of those additional capabilities that can be configured based on those Enterprise needs yep now let me just switch back to the application on the sorry on the presentation deck to cover the next topic again this is also which is of high relevance uh prior to zanado whenever you receive a regulatory feed some a dedicated team member like a centralized team has to take that job to identify who has to work on it identifying who is the coordinator or the deemed domain expert what we introduced right now as part of Zan release is an automation rule framework SL routing rule what that means is you can build a rule criteria which says if my criteria says if the title is fraud or if the source publication date is less than 30 days and if the regulatory uh Authority document is maybe SEC automatically routed to the finance expert or to the legal expert so this is a onetime rule which will help you to literally scan the regulatory Horizon and automatically distribute that regulatory feed to the relevant stakeholders so this improves a lot of time because right uh prior to Zan this requires a lot of manual inter ensive job to read through each and every regulatory feed and say if it is deemed applicable or not so with this introduction you can reduce that noise so it helps you to focus on those relevant feeds right in front of your desktop now let me just switch back to the application again just to give you a glimpse on how this plays out as I was just navigating to the list view here are some of those uh topic areas of Interest now you might notice there is a fraud feed that is being listed in my dashboard so how is this being loaded is again let me just give you a preview of how this is been configured in the application we have introduced something new automation rule call as a routing rule concept so as you see in the example there are two different rule criterias one is specific to cyber topic other is related to fraud let's go ahead and look at the details on how this has been configured this is a deta it kind of lay follows the same principles of an assignment rule logic where if you have a criteria which says certain criteria has to be met and it has to be automatically assigned to a group of individual or a team members and that same principle applies here so as you notice over here we provide that essential details on defining a rule which is applying to the regulatory alert record table and as you scroll down to the bottom where you define those conditions this is where you can actually set up those rule criteria in this particular example I have stated that if the title contains fraud description and as well as a source complication date is maybe less than than or greater than you can apply those root conditions n number those times and based on the success it will automatically assign it to either a group or an individual in this case for the regulatory change application we have a primary user which has been recognized as a coordinator which can be either from this named user so you can actually assign it to them now once this has been submitted the rule gets executed from then on and based on the criteria that has been defined it will automatically assign into those individuals so the key benefits as I was just talking about you get to focus on those relevant topics and that way it will help you to readed out any unnecessary noise and you can narrow down your focus and attention on those key topics of Interest once again uh I'll just take a pause just to see if you have any questions or any general feedback with respect to these two features that has been highlighted on the regulatory change product um no questions um we've got the comment about you know being able to see a comparison between the analysis of um some of our partners like re reology um and you know how that's in Washington versus xanado do we do have a lot of of uh partners that we actually work with to provide content for regulatory change um so I think you know that's something we might want to do in the future actually is have a webinar that just talks about all of our different partners and how they can add the value and and where they add value absolutely right so on the content Partnerships right yes we do have existing within the service store Cube and few others lined up but the regology is another one that you might be of interest and each of them have their own domain expertise where they tailor it specific to those jurisdictional areas uh so we can definitely work out on some of the topics on that front to introduce a joint partner program wonderful I think they're ready they're ready for the next feature sure great uh now let me just switch to the gear on the next application that we have which is on compliance case management product now again just a recap on what the application does we have uh yeah sorry in a short summary the compliance case management product helps the organizations to identify assess any of those compliance related issues that has been reported within your organization and we deal with all of these compliance related incidents in detail which helps the compliance team to ensure all of those necessary activities can be traged up front determine what are the resolution measures that can be remediated for closure and how continuously you can actually use the tool to monitor it so we bring in all these compliance cases either it could be a request or it could be a case and our tool acts like a centralized tool within the service not platform to monitor each of these intake request we basic basically channelize each of these requests coming in from a security team ID team and any of these cases which are teamed compliance specific in nature you can reroute it to the compliance Department who can actually take those necessary steps to scrutinize and investigate what is the nature of that compliance case that has been reported each of these activities can be detailed and documented depending upon the nature of the type what we have witnessed is each of these case types will have a tailored Centric of actions and as well as workflows that need to be profiled as per Enterprise need so we have the configuration capabilities to align it as per your Enterprise need and that's something which is highly extremely scalable and configurable for your reporting purpose this is one last example on the workflow diagram which will help you to understand what are the capabilities that we offer as we was talking about from an employees standpoint if they wish to report an compliance case or inquiry we channelized that using our employee Center portal which will help us to raise any of those inquiries or regulatory investigation that needs to be conducted we also do offer AP Integrations that can be exposed and integrated with any of your internal systems or even within the service now solution providers once the compliance case has been reported it starts with the whole process of Investigation this is where the compliance team basically identifies and find out what are the root causal factors that are deemed applicable look into the level of details that will help them to take the necessary measures by collecting evidences and ultimately we are also helping them to ensure if there are any what is the overall validity of the compliance case being investigated who are the involved parties what are the different stakeholders involved so that everyone makes a say in this whole life of the compliance case and that's the beauty of collaboration that has been added within the tool so it's not a oneman activity essentially you can have multiple stakeholders reviewing a singular compliance Cas is being recorded and this is where we provide you all those essential capabilities and a kind of a true configurable and Enterprise fashion last but not the least is around the post case resolution measure so once the resolution activities have been triaged is important that you continuously keep a track on where it is in the whole life cycle of the compliance case and this is where we ensure those consequences and the C factors are recorded in depth so and if there are any discrepancies or any findings such as regulatory findings that needs to be recorded we also provide those capabilities within the tool now what are the new capabilities or enhancements that has been added within the compliance case product top of the list is an improvement within the collaboration capability is the introduction of a discuss button where as you see over here we are helping compliance case manager and analyst to invite multiple domain experts to review the case some of these cases could be sensitive in nature or time bound so you need every members within your organization to participate in this whole process to investigate and everyone's voic is being heard using this discuss button I also do want to call out that we also do have an integration with Ms teams or in other words the Microsoft teams tool which helps you to increase the productivity in nature so which means you literally need not be logged into the service platform all of those conversations can be channelized using the Microsoft teams tooling as well so let me just give you a tour on how this plays out in the application and that will give you a sense on what has been made available so here I have logged in and impersonated as a compliance case manager let's just go ahead and review one of the case which is currently in the investigate mode here we have a financial uh sensitive information that needs to be reviewed in depth as soon as I launch this regard all the all of the essential details ranging from who has raed what is the date of discovery on what are the remediation tasks that has been filed all has been captured as part of the demo but in addition to that you will notice there is a discuss action button this which has been newly added what this allows you to do is you can invite various stakeholders be it from your watch list or from other departments who can actually contribute and review this whole case as you might have noticed within the activity stream there is an active discussion which is in progress which has been initiated by the compliance team member and I can go ahead and launch that chat window to document my chat conversation log so each of these members who are working on it can see those chat conversation real time and all of this is also integrated with the Microsoft Team Tools so that you can actually have those conversation within the Microsoft teams as well so all of this is synchronized in real time in nature so whatever actions are being channelized offline can be synchronized back into the servers now instance the other key feature that we have added within the compliance case product is an improvement on the dashboard we do recognize the importance of having cases by subtypes what this means is we can granular your cases into different types and subtypes and get a glimpse on those visual Clarity on all those compliance cases which has been distributed and proportionately by different each subtypes this helps the compliance team members to focus on those areas which requires higher attention and also which are the ones which has the highest number of compliance risk that has been reported so each of these are drilled down in nature giving you more clarity and focus on those areas of focus which needs more compliance attention in depth so these are the two new improvements which has been added as part of the compliance case product I'll just take a pause just to check if there are any additional questions or any feedback uh I did notice there was a um somebody raised a hand maybe if you want you can can actually post that as a question maybe you can review that absolutely yeah if you've got questions please please put them in the chat window um as you can see there were some really exciting hand enhancements especially the AI powered recommendations and Regulatory change um and then I like I really like the chat capabilities giving people the opportunity to to actually collaborate a little bit more easily in compliance case management abolutely any questions at all please let us know okay we do have one the discuss feature is not only specific to compliance case correct this is true this is actually a very good point yes exactly so you might have noticed it it's also enabled for the regulatory change product as well so whenever a change task or an action plan is in process you can also invite multiple stakeholders as well so it's enabled for these two products and that's pretty much uh available as part of this Zan release um are there plugins what are the plugins for compliance case management yeah uh you will be able to find some of those details in the documentation actually so we provide all those essential details which are helpful for you to ensure what are the prerequisites that can be followed uh the essential one is of course the compliance product and the subsequent plugins can be listed out which is kind of a dependency checklist y all right um if there are no further questions I will just move on to the last feature item which is a significant change that we are adding as part of the whole corporate compliance product line and this is the introduction of a new application called agency Library by the very definition of its uh nature what we've introduced is a new record type officially what that means is when you're dealing with Enterprise wide regulations which deals with laws regulations that spread across the globe you need an option within the tool which will help you to centralize this effectively so in our current existing in integrated risk management architecture model where we have the library of internal goals or objectives which are defined as policies and control objectives and the way this can be interrelated with your enterprise-wide and or external regulations is through the authority talks and citation but what was missing in this whole game is the importance of an agency which acts like a true regulatory body or supervisory body that oversees what is what are the dictated citations for that particular jurisdiction as such so this is a new application as such that has been launched it has a lot of value benefit especially for compliance case and Regulatory change in terms of reporting Gathering Rich insights and also not to mention it also paves the foundation to ensure that you can have your centralized layer of managing your regulatory interactions so what that means is using the agency's application number one you can have a centralized reap of all those Enterprise wide obligations which can be ma managed across various jurisdictions secondly you can also create an inventory of those regulatory contacts and we do realize these contacts can play a major role in some of these scenarios in terms of Investigation or maybe just to keep them informed on what is happening overall you can also the third is the most important point is the ability to engage and maintain those email interactions or in other words engaging your Regulators for any set of Investigations reporting inquiries as such we'll just walk you through an example on how this kind of looks like here are some of the two most prominent regulations or agencies that you might have come across and how each of those regulations deal with privacy regulations as such State of California issuing the CCPA act European Union issuing the gdpr Dora and of course European Union act what do you notice in the agency fundamental block is the introduction a couple of other elements as well ability to associate an agency to multiple jurisdiction we do realize an agency can have presence to multiple areas in terms of reporting and Analysis and that's under the capabilities has been added also the option to define the library of contacts or in other words the inventory of the regulat contacts who can actually participate in the whole life cycle and of course manage your email interactions or conversations with your regulators and in a moment let me just walk you through that in the live system as well and uh this is something that has been newly added which will help you to manage your whole reporting insights from a regulatory as well as corporate compliance standpoint so with this once again again what I've done is I've just impersonated as one of the service now individual who has an access to all the agencies so if you notice within the left hand side panel there is a group section called regulatory information here we are listing down all the list of agencies from a demo uh demonstration purpose we have some of these which are spanning across various geographies for our demonstration purpose let's just go ahead and explore the state of California record we capture all the bare essential details ranging from the title the classification details and if you have an HTML or Rich information that you wish to provide we also provide that detailed description and of course a summary we also expose a kind of sidebar a kind of a quick summary glance on what the agency kind of looks like by capturing all the essential details like who is the executive owner its acronym as we scroll to the bottom we also do have additional information to classify the nature of the recorded agency starting from category the sector each of these have its own representative classification list so that you can use it from a reporting perspective from Key dates perspective when was it issued or reg established from the creation date and of course if you want to secure your agency record by different application perspective you can actually use the functional domain to securely group each of those agencies as we switch to the next tab this is where I was just mentioning about the ability to Define each of those contacts and this is a new provision which will enable you to Define each of those inventory of contacts by capturing its necessary details which has been listed here as we switch on to the next screen which is on the jurisdiction you can associate it to one or more number of jurisdictional locations where this agency has its presence last but not the least the authority documents which has its coverage in this case CCPA and few others which are deemed applicable as we drill down into the deta you will find out it's Associated citations the control objectives so it's all interconnected in one logical grouping called as the agency recard we also talked about the importance of email interaction on how you can actually interact with your Regulators on a timely basis using the compos email action you can uh initiate n number of those email conversations within your regulatory contacts as soon as I launch This Record you will see a traditional email um content body wherein you can actually document all that information you can also access it from your drafts as well so I have a bunch of those draft templates which has been uh considered so I can actually pick this up and it'll basically prefill all those essential information for you so you can see who is being assigned to what are the details of the financial claim that has been braced and each of those information can be submitted once you profile it accordingly and you can actually assign it to the respective regulators and each of these conversations that is been channelized will now be listed within the emails log so as I switch to the screen called the emails tab you can see which are the list of email conversations that has been assigned and uh at what state they are whether it has been received or it is under pending review state so you can notice you can have each of those email conversations established with your regulator in one Central portal using the agency record and this is a new introduction of the application which paves the way for corporate compliance as well as for the regulat compliance suit of applications yeah being able to consolidate it all one place is extremely helpful can you go over one more time the difference between agency and Authority document or regulatory body sure sure most certainly yeah so I'll just take through the example once again so within the state of California we recognize they issue certain regulatory Acts which is the CCPA so if I drill down to this to the next level which is officially being recognized as the authority document so how do we recognize that is of course these are some of them which are sourced from externally but we also do have an additional field to or an attribute information to recognize this is officially being regulated by the state of California and what are it Associated citations again is also sourced from an extern provider which are deemed articles and as such so you can see how the breadcrumb trails back and forth so we executed from an agency record we moved into the next level to recognize what an authority document looks like and of course the citation record so all of this plays a major role in terms of how you want to logically group from reporting perspective so this is one example from State of California I'll just give another example from the European Union which is pro uh well known in the context of gdpr act so let me just switch to the European Union example once again the same example but again the element of information varies so here in the context of authority talk you have Dora act um of course the gdpr and the European Union AI act so if I drill down to the respective Authority do it shows me how many number of citations are grouped within the authority document record SL the regulation and as I switch to the citations record you get a glimpse on what are those articles that have been defined in context of the gdpr act so all of these are interrelated in one way or the other and that's how we are able to bring in into the picture over here I think um I think the agency being you can have multiple Authority documents associated with one agency I think is the way to think about it um that's right yes so I guess the question your next question is can we you know why is it you chose to do it this way and not making an entity as an agency very good question so in terms of a The Entity has its own life cycle in terms of here we are not doing an assessment or a nature of any compliance assessment if you notice it's a pure informational reporting which will help you to logically group and organize them in one way or the other secondly the entities by the very nature of its definition is to perform any risk assessment or compliance assessment in the nature of whatever activities has to be performed so something that is accessible in nature is where the entities comes in but here agency doesn't apply in context of each of these assessment activities or any of the assessment work streams which is why the introduction of a new application paves in and that's one of the primary factor behind it I was yeah sorry go ahead now hope I was able to answer that point but that is one of the primary reason where we don't want to ensure those agencies are being assessed in nature but they are primarily used for informational reporting and communication purpose organizational being able to organize your your information really exact um so I think you might have mentioned this that the agency get into the weeds a little bit but it requires a new table is that correct yes exactly why is that because it's different than entities and different than other things exactly the importance of jurisdiction Authority talk so these are all different multi- to multi tables that has to be referenced so using the Entity framework we will not be able to get all of that rich information you need a centralized table which will help you to organize this one way or the other so as you might notice entities has its own specification on the nature of the assessment workstream but here we cannot use it from a reporting one of the biggest disadvantages if I want to classify whether it's a legislative or regulatory or governmental nature we cannot use the entity concept in that sense so it'll create a lot of mismatch in terms of reporting so we have to centralize and de I would say organize it in a logical way in that sense and from a reporting standpoint can you filter and select multiple agencies for reporting uh those are the net new things that we are working on from a reporting side so as I mentioned this is just the foundational block and we would definitely would like to get gather more Rich use cases strengthen the some of the additional areas so reporting is another area where we want to strengthen right now we just introduced a single list View and from there we will definitely introduce more and more dashboards like overview Rich insights like volume of issues accumulated at an agency level things like that and so people the messages for the folks out there that that are you know that are interested in this sort of thing that want to you know provide some input to the process to put your email address in uh the chat or in the questions and direct it privately to myself or to an noop and an will definitely get a hold of you to uh to continue the conversation yes absolutely that's right and uh we would be really interested to get your gather your early feedback validate some of these thought processes and happy to have a more dedicated and focused session so
