August'24 Store Release What's new for Workplace Service Delivery

good morning good afternoon good evening everyone thanks for joining today we'll be doing the August 24 store release for understanding what's new wi in workplace Service delivery so just to introduce myself today I'll be presenting so I'm Elizabeth Bing I'm part of the outbound product management team for workplace Service delivery so I do want to mention just before we get started the safe har notic even though all the content I'll be sharing with you today is uh being released at part of our August release I might uh mention a couple of road map items and if I do these items are in the safe harbor as these statements might change in date time but also within the vision so just before we get started I also want to point you towards this QR code just make sure that you scan it if you want to attend any other events that we're hosting we in the community so we're in live on service now you can scan that QR code and have access to all the upcoming events so a couple of housekeeping rules uh there will be a Q&A session after the presentation I am going to go through quite a few demos so I want to make sure we do keep it a bit of time at the end of the session to go through Q&A so please post your questions however if we don't get the chance to get to this session uh I will make sure to follow up with you via email and answer all of your questions when you do reach out over the Q&A section we do like appreciate when you introduce yourself we'd like to know who you are but also understand where you are with your wsd journey this session is going to be recorded and it will be then shared as part of the community so you'll be able to find that recording uh within the the coming week once the session is over and then after the session for those who are familiar with these sessions we do prompt you with a small survey we do appreciate your feedback so any comments on how the session went any improvements you can suggest or any highlights to you uh would like from this session uh please do have all of that written in the survey we really appreciate it so getting started on today's agenda we're going to start by going through some of the really high level uh new capabilities new features that were released with August starting with one of them being the workplace service kiosk this is our MVP for the for the first kiosk experience which we're releasing we'll then go into understanding what we've released around up enhancements to scenario planning enabling for multi-building uh scenario planning I'll then show you some of the enhancements we've made to the event planner followed by a net new application which is workplace Service delivery for Ms places we'll go into detail as to what that consists of and then we'll give you a couple of enhancements around some of the existing capabilities that we have in terms of enhancements for the agent on mobile but also we now release the support for environmental sensors and a lot more to come during this session so quick high level summary if you have to memorize something uh in terms of this session what's the high level of what we'll be going through uh I know just went through the agenda but this is really going to give you Clarity and show that we are enhancing in every single uh segment of wsd so starting off with the reservation management we released the event planner a couple of releases ago we listened to everyone's feedback uh everyone started adopting it and had a couple of challenges with it adoption so we do have quite a few enhancements coming I won't go through them here as we'll go through them in detail and I'll also show you within an instance uh how those capabilities enhance the event planner experience we also added a net new capability to provide facility teams with a better way of defining uh how they can deliver services so how much time in advance does a service need to be um requested for it to be delivered in time we then have quite a few enhancements for Space Management so the major one here being as I mentioned during the agenda is the multi-building scenario planning we'll go through that in just a bit and then we want to provide a lot more flexibility to space planners so providing a new capability which is really at the workspace uh level but also high levels of really defining when I do an allocation uh I want it to be time bounded so I can have different timings I can have different allocations that will follow each other based on time and we'll go through that also in detail we then have as I mentioned our MVP for the kiosk experience this experience is really to enhance uh the visitor experience so to show you that we're not only investing within the employee experience within the space planner within the agent because we also have uh mobile updates we are also looking at visitors how can my organization show a a good image to a visitor when they actually show up in my workplace and how can they interact and have a self-service experience we then have some enhancements in terms of the workplace connectors so workplace connectors is one of our newer modules which was released uh end of last year and since then we've been including a badging uh system integration we've added a framework to connect to occupancy sensors with a couple of use cases what we've done for this release is provide a new framework where we can actually um enable you to integrate with your different uh sensors for temperature and quality so really providing those tables for you to integrate your your different devices we've also decided to provide more clarity to the employee so from the uh experience we delivered back in May where an employee can view on the map the different occupancy uh versus reservation and view that couple data what we really done here is provide more clarity by providing more filtering options but also a color coding which really helps at a glance look at the map and see the information where rather than just seeing the red and the green colors they will have more option to visualize the different colors and then last but not least we have the workplace agent for mobile this was a net new application during our May release we have listened to a lot of the feedback as we were developing and as customers were starting to uh implement this uh new application we do have quite a few of enhancements there which we'll go into detail uh as we go through the presentation so I want to start off with our highlight of this release the workplace service kiosk we really want with this kiosk it's the MVP it's the first version that we're releasing uh spoiler alert we do have a lot coming in terms of road map of to the different experiences that we'll be having on kiosk however this first version is mainly for the visitors so providing them with a self-service experience so that when they do shop to the workplace whether they've been invited to the workplace or not they have that selfs service where they can walk up to the kiosk check into the kiosk if they've been invited uh and have uh the opportunity to have the host come and join them come and greet them as they do their check-in or if they haven't been invited also the possibility for them to walk up to the kiosk and do a self-registration also when they leave the the office at the end of the day they also have that option to check out and really with what we've done with this kios is provide a lot of flexibility to the uh admin team so the way that the kiosk is set up is totally defined by the kiosk administrator I'll go through an instance and show you exactly how the kiosk experience can be configured but the idea is really to have it flexible so that the organization can Define what do they want to have available on the uh kiosk in terms of modules do they want to allow for check-in what do they want to allow for checkout do they want to allow for both experiences which ways of authentication do they want to have their visitor shop to is it a specific uh passcode is it a specific email is it a telephone number a name all of that can be configured and of course in terms of visitor management we do uh we have included a concept that we already have existing within the visitor management uh plugin which is the policies so when I invite a guest today to the workplace I can have my organization send out policies that that uh visitor has to accept before uh coming on site but if they haven't accepted it the kiosk will also offer that opportunity for them to acknowledge those policies once they walk up to the kiosk so having showed you that I do want to go into an instance and really show you how this experience can be configured from the uh admin side all the way to what the the visitor will see as they check into the kiosk so with this uh kiosk experience we have released three new roles so the first one is the kiosk administrator and what this person is going to do is really configure The Experience within the back end so they will configure as many uh kiosk configurations as they have as of kiosks and then from there they'll be able to link them to actual physical kiosks so the way the configuration works it's in two steps one part is within the kiosk management and a second part will be within the visitor management mode module so I'm just going to show you a kiosk configuration just for the sake of time I'm going to show you one that's already been created and go through the details of what was configured to create this uh kiosk so on this kiosk configuration this is one specific configuration uh that I'm providing for this specific building so within this configuration I have the option to create a homepage so this is going to be the first thing that a visitor is going to see when they walk up to the kiosk so of course you want it to have either the branding of your organization or have a welcoming message or have something that's going to really attract them and show a a good image of your organization so you have the possibility here of configuring this page and just to show you what will appear on that page we'll go through the the visitor experience to show you what that would look like but you have the option to uh show a title so which is going to be the first message we' shown you can show a subtitle you can also Define the logo so the logo of your organization or a different image and then that you can also Define on what would be the the background for the kiosk this will make more sense as soon as I log into the kiosk to show you exactly what that would look like you can Define who is going to manage the kiosk which location it will be at and Define the default language all of these configurations will be done via the different uh kiosk management uh items within the the back end for each kiosk you'll have to Define different modules so a module will be uh a way that an an employee can a visitor can actually walk up to do a check-in do you author them to check in do you only want them to check out do you want them to do both so you're really going to Define which module will be apparent some organizations might only want their visitors to check in they check out they will at the end of the day uh check out every single visitor anyway so you have the option of configuring which modules will be available and within each of these uh different modules you have the option to configure the way that uh the flow that a visitor is going to take to be able to authenticate so having showed you this uh part of the configuration I do want to really go to the visitor management module to show you how those flows uh can be defined so we have here uh some new record producers where I can actually Define which will be the flows uh behind my modules so if we look specifically at the check-in flow I've created one specific checkin flow and for this flow what I've done is selected every single authentication method uh which is uh available within the instance by default so the authentication method will be shown here as to what options are available so if I just open the record it's going to show me that the authentication options my visitor when they walk up to the kios they can click on checkin I allow them to check in either VI their email address their phone number their name or a specific passcode this passcode gets sent out as soon as a guest gets invited to the workplace by a host They will receive a passcode within that email so they also have the option to check in with that specific passcode if I just go back to the check-in flow you can also see that within the flow there's also the different pages that will appear uh one after another so what do you want to show your visitors when they check in they will be able to define the way that they want to authenticate but they'll then also have different steps so do we want to show them a summary of who invited them what are they there for do you want to show them uh the policies all of that can be totally uh defined but so once all of this will be documented and shared with you uh on the community but once the configuration has been done from for the kiosk from the that administrator we then have the kiosk operator who's actually going to bind the uh specific kiosk uh configuration to an actual physical kiosk so if I just uh if I log out here as I'm logged in as the admin I want to show you as a kiosk operator so kiosk operator is able just going to sign in as able so you can see that in the URL I've just removed uh the uh back end and now then SL K so we can imagine right now we're looking either an iPad screen a kiosk touch screen any kind of device that can support this uh web browser so what I can do here is uh see that I'm currently on the kiosk I can uh change kiosk this one's already been linked but just for the purpose of the demo I'm going to show you the different options so these three different kiosk configurations have been configured by my admin in the back end what I'm doing here my task is to link one of these configurations to this actual physical kiosk so I'm going to select the default uh kiosk and I'm going to save that kiosk and my job as an operator has been uh completed once I've done that I'm just going to log out and now I will log in as a viewer so the viewer is really going to provide the front-end experience which will be available to the visitors so in this case the viewer is Abraham Lincoln this is what's going to be shown on the screen uh all the time on the kiosk so this is my front page as I'm a visitor I'm walking into the organization I see a kiosk this is the first screen that I will actually see the kiosk uh image so what I was talking about earlier about the homepage the homepage is composed of the actual background the logo the title and then the subtitle of what you want to have uh based on the way that you want to set up your kiosk the options for languages you saw that in that configuration page I selected English but I could also Define different languages so by default I've got English but I can also Define to have multiple languages available to my visitors and from that configuration I also enabled that I want my visitors to be able to not only check in but also check out so just for the purpose of this demo I'm going to show you how a visitor would check in if they've been invited to the workplace and then one who has not been invited to the workplace so I've got different options of checking in so as you saw in the back end I enabled every single option by default of ways to authenticate I can have the pass code I can select the email a phone number a name I'm just going to want to check in here via my name so if I just search for my name I'm going to type in my name and continue since I was registered by a host as a visitor to the workplace I'm actually going to receive this confirmation for me to validate that this is uh exactly me that's been shown up so I've been recognized as an natural visitor my host is Adela she's invited me to a a meeting or registered me as a guest for the day and this is my information and email so what I can do is continue for this purpose I did not accept any policies but the organization has specific policies that need to be acknowledged before uh I do uh go any further within the organization so I can just read through these I can also have links to external um external websites or embed any video within the page so what I can do is acknowledge this and then it's going to Mark me as checked in and then we can have the different next steps in terms of it's can have a flow to notify the host that I'm uh actually arrived at the Kos so they can come down and greet me we can also have a flow that will say you can go to the reception and have your badge created and then for the third one we've done here is just prompt the visitor to say don't forget to check out once you once you leave this organization has the policy of when a visitor leaves they have to uh come to the kiosk and check out so that was the flow of a visitor that has been registered to the uh organization if I now want to go back to the home screen so the home screen if I start my process and don't complete it after a certain amount of seconds or minutes depending on how you configure it it will come back to this home screen meaning the next visitor who will show up in front of the kiosk won't be showing my information they will be prompted back to this uh main page so let's just check in as a user that's not being invited to the location let's do a name again and let's log in as uh Paulina Vera I'm going to continue it's going to say that no invitation has been found I haven't been found in the system because I have not been registered so what I can do is register my visit so this is actually doing a self-registration and now it's going to prompt me with a certain amount of questions that have been configured uh by the organizations to really promp me to understand why I'm coming into the location what's what are my details and how can uh how can I create that registration so you can see here that I'm going to be going through eight different steps and I'll have the progress go along as I start completing so I can say the purpose of my visit I can have a drop- down list and say I'm a client I'm going to continue and into my first name I'm going to say I'm Paulina Paulina continue my last name Vera continue my company name let's just put ABC you can see the progress here and now four out of eight steps completed it's moving forward I'm going to ask me for my email uh let just put V A abc.com it's going to ask me to continue phone number is not required uh so I can or cannot decide to add it there I'm not going to add my phone number Select a host this will be uh based on what the organization's configured what host will be available let's just say I'm coming to meet Alva or I could type in the person I'm coming to see of course you don't want all your organization to show there for security concerns I'm just going to click on continue it's going to ask me to add a brief reason for my visit I'm going to say uh visiting uh visiting my uh AE I'm going to continue and then it's going to be promp it's going to promp me with a week cap of the information that I've just input so I can go through this I can make any edit if I want I'm just going to edit my email address and say that I got it wrong I didn't fully spell my surname continue it's going to take me back ask me again to validate I'm going to continue since I'm in the same organization as the person that registered before uh checked in they also had to see the policy like any other visitor I have to also acknowledge these policies so I can read through them I can then acknowledge and then I'm going to be pumped with the same message as a a normal check-in uh person it's going to notify the the host which I've defined who will come and meet me it's going to point me to go and collect my badge and it's also going to mention for me to go and check out so for the for the checkout process it's very simple let's just go for this rather quickly so we can move on to some of the other parts so to check out I'm just going to come back as the process will be the same if I've checked in or if I've done a self-registration it's just going to prompt me to say which way do I want to check out any of the items will be available I'm going to say it's myself confirming the details of my visit it's going to prom me again are you really this person that you met uh Adela the host person I'm going to check out because I'm going to confirm that and it's just going to Mark me as checked out I can as I click on done or after a few seconds it would take uh the kiosk back to that homepage that was an overview of the kiosk experience we'll now move on to some of the other new enhancements so if we look then at what we've enhanced in in terms of Space Management so Space Management is really focused around how can I um utilize how can I manage and how can I optimize my space based on a lot of feedback that we've had and the way that customers are using scenario planning we want to make it easier for space planners to be able to visualize plan and manage their spatial arrangements and moves across multiple buildings so providing the same capability around scenario planning that we had prior this release but really adding the component being able to do it across multiple buildings these could be buildings within the same campus these could be buildings throughout different campuses we really have a lot of flexibility here the only limitation uh is that we can only have 10 uh buildings at once uh shown within the scenario for performance uh reasons we can only have those 10 uh to be able to make those adjustments across them so by having the multi-building scenario planning we've also enhanced the kpi options that will be shown on the right of the screen really to facilitate the way the space planner can actually visualize the different allocations at the entire scenario level but also then draw down to the specific building level the floor level and then the specific allocation level so really getting that granularity in every uh kpi that they will be able to see so just quickly I'll move into a demo instance because I feel it's always easier to visualize once we are in an instance I'm just going to sign in and go for those that aren't familiar scenario planning is located within workplace Central and within work Central it's in the space optimization module so right now I'm in workplace Central I'm in that space optimization module I'm in scenario planning so we can see that we've enhanced it here to really show the different locations which will be captured within the the specific scenario and for the purpose of time what I'm going to do is show you a specific uh scenario that's been created throughout across multiple buildings I'm just going to let this load for a couple of seconds just going to show that we can have here the multiple buildings just like we could have floors L if I don't select any I can see that I have my space and assignments at the scenario planning level so the entire scenario level if I then select one specific building we can see that these uh kpis actually changed based on what I've selected I can then visualize both of my uh buildings and then just just like I could do PRI previously in scenario planning do the drag and drop uh from my different I could I want to let me select it it's a deployed one so I'll show you that in just a minute so you can still just drag and drop but the main uh change that's been done here is if I look at the details it's the the space criteria how do I select the different spaces or different campuses or different buildings that I want to have within my scenario so once you create the scenario you have more filtering and more conditioning building to be able to specifically um select the the spa the the buildings and campuses or floors that you'd like to have as part the scenario so really being a having that flexibility to select some of these I'm just going to move to a different scenario that's not been published so I can show you exactly how those edits can be made here I'm in a scenario so this is exactly the same this is just a different scenario which has got more buildings I can see I've got four buildings all good because I'm under the the ratio of the 10 buildings so I have the the option to do this I don't have the option to edit here so we won't be able to do that but I have the option to uh specifically drill down into these and uh when I when I create a scenario I can just drag and drop between my different floors and still use that clipboard if I want to hold any of these uh allocations before adjusting it to a different uh building in terms of the floor plan option what I can do is I'll just move back to the other one what I can do is visualize my buildings as a on the floor plan so the same option that we had previously but now you can see that we have the two buildings that are apparent um for performance uh reasons and for visual reasons we have the option of only visualizing one uh floor plan at once so right now I'm focused on building a floor two but I can easily use the um filter up here to select Building B and then easily switch to that Building B view I can also then just navigate between my floors if I have any allocations on these floors these would show up so really having that possibility to navigate from one uh to another so having this multi-building uh scenario planning acts in the same way as what we previously had for one build building the possibilities with the multi-building is providing more ability for the space planet to be able to make these edits and once the scenarios are deployed space uh deployment plan and user deployment plan will be created in the same way however this is providing more capability to if you want to create moves uh from one building to another if you want to do those bolt moves uh between the buildings between the campuses this can now be done and the action plans would uh look the same and have the the right uh configuration between those buildings just going back I'm seeing that time is going by really fast so now just going back event planner event planner quite a few of you uh came back with uh feedback uh we do love feedback especially when we release a capability and then wait one or two uh releases to enhance it really to get the feedback and understand how uh we're trying to solve your challenges and what challenges you're facing with what we've released to be able to enhance on it so really what we've done here is provide uh additional uh ways of editing a reservation by staying in the event planner and not having to go to the reservation portal to do quite a few of those edits so' being able to do those quick edits directly from the event planner is providing uh the event planner with more flexibility and uh less time consuming and less clicks to be able to to make changes I won't go through those different points what I'll do is go directly into an instance and showcase those different uh updates we've made just going to reload the instance to make sure that we can select some of these so the first change you'll see is that from this event planner what we've added is the possibility to open directly the uh location directory UI so this is really going to provide the event planner with a way that if they need to make a reservation immediately they can select the event planner and not only look at what reservations have been created but also if you have uh connected with occupancy centers really combine that data with the reservation data because we know that reservations uh people might not necessarily be in that reservation so that room can easily be freed up or people might be in a room that is not reserved and in which case this will be extremely useful for the event planner that needs to uh proactively create instant me uh reservation so the other uh major enhancements we've done is really within the planner uh feature so what I'm going to do is I've created a reservation for tomorrow we can also see here I have the option to easily click on the location direct you which will take me to the specific building uh which I have uh selected the first change that we'll see is that we have the option here now of defining uh the time span so when the start of the day will be and shown within the event planner so right now I've had it having it started at 8:00 a.m. instead of previously when IID opened my event Planet it could open any at any time of the day and provided me with difficulties in actually visualizing what's happening the next enhancement that we've done is really providing a way for them to edit this reservation directly from uh this planner so what we've done is clicking on the small calendar we still have the same uh uh popup on the right so there same uh right side panel but what we've added here is this flexibility to make changes I can still have the option to drag and drop however I can also change the floor change the building change the location I can do this manually I can change the start time uh start end time who's it requested for change the subject of the meeting add any additional notes but also view what catering has been attached to this reservation so these edits could previously be done by the drag and drop feature however if you needed to make more edits uh this was uh you needed to actually open the the reservation portal we still have the possibility of accessing that reservation portal but now these changes can directly make be made here one uh other uh enhancements in terms of editing this reservation previously when I dragged and dropped my reservation it used to snap to different times let's say if I wanted to move it to 11:00 it used to move to 10:58 and uh different times what we've done now is provide uh the admin with a flexibility to Define uh the time span to which it should drop so we can say it's a a five minute a 15 minute a 10 minute to really provide that ability to have more um precise Dragon dropping so let's say I want to move it to 11 we saw that this reservation has actually got um catering requested on it previously pre prior to this release we didn't have the option to retain those Services now if I Dr and drop it I'm going to see that I'm going to get a message saying do you want to retain those Services these this is the catering item you've requested they're still available because you're moving it within the same uh within the same room so those catering options are still available do you want to keep them yes no but also do you want to edit the quantities of what you've uh requested so let's say I want to edit it and I want to say I want I now want a quantity of three uh Still Waters I can just update that and the reservation will be updated and make sure that those uh services have been retained so this is creating really parity with what we've got within the portal where wherein where you um edit a reservation the you get still get prompted with uh retaining those services and you do get notified at say I want to move this reservation to a room that doesn't have those catering items I will get notified to say those service can't be retained because they don't appear within the location that I want to drag and drop them to so that was the high high level of some of the enhancements we have for the event planner uh I'm now going to move on to some our next capabilities so a net new application that we've uh released within August is a plugin called workplace Service delivery for Ms places the idea behind this is we do have customers that are starting to use Ms places as uh the the as the product starts to to get delivered by by Microsoft and really the idea is to meet the employee where they're at if they do use Ms places and create res reservations through Ms places we want to make sure that we're providing them with uh the ability to actually raise issues also request workplace Services directly from uh within team so being able to within Ms spasis to request a certain amount of services what I'm what I'll be showcasing in a minute within teams this can also be replicated and it's also available uh via the workplace Services if you log on to the employee Center you'll have the same capability and it's really a way for the employees to uh be able to open teams and from there make the requests of what they need do they want to have it linked to an existing reservation or do they want to have it just delivered to a location or delivered to somewhere they they can pick that uh service up so providing a way for an employee that not necessarily has a reservation can also request catering or any uh kind of service we've actually delivered uh seven different services within this release and we are planning to to deliver more uh really providing them a way to define do I want to attached to an existing reservation if I forgot to include them when I created the reservation or do I want it delivered to a location without a specific reservation and then from this page I also have the option to view the uh status and my different uh requests that have been opened so what I'm going to do is just log in to teams to show you exactly how this will look like so this what I'll be showing you through teams as I said will be uh also available uh through the workplace Central let me just switch screens we go so what we have here is you're probably familiar with this page of it looks very similar to what we've got within the employee Center within the workplace Services of ways of requesting different services so as I said we have a certain amount of these that are out of the box uh what we're delivering with this uh plugin and I'm going to show you the example of the catering so for the cing as I mentioned we have the option of I've created a reservation but I forgot to add catering or I didn't think about it at the time I want to now add catering to that reservation I can just select an existing reservation one of my existing reservations and say for this aspin reservation I want to actually add services so I it will automatically update the date and time it's been requested by the urgency I can actually Define myself who it's impacting I also have the option to to Define myself and based on the room that I've selected based on the reservation it's going to just going to show me the options of catering that are available for that space so if I had selected a meeting room or a specific desk that doesn't have Services it would not show me any options here to actually request that services so from here I can just Define I want snacks I can Define what kind of snacks I can Define the quantity uh just like when you request a service today as part of a reservation you also have the the price if this is being configured uh within your organization and you can also add details you can then Define do I want this service to be delivered to me or do I want to pick it up and the second option is if I just go back if I remove my reservation if I just go back so that it removes all the information that's been input if I want to do the same request but don't necessarily has a I don't want to tie it to a reservation I just want to request catering I want to request by uh the 19th what I'm going to do is Select I can see that for uh this specific location there's no catering available to me if I want to look is there a meeting room is in this specific location or if I just find [Music] for California Campus I'm going to select the floor say floor one I say Berlin it's going to since I've uh this space has actual Services tied to it so this has available Services I can just select what's available there only snacks or drinks I want drinks Define the quantity of what I want I can say two coffees I can add any other catering item and I can say I want it delivered to this location at that time or I actually want to go and pick it up and then just submit that and that will create the case so either the option of creating it without having it linked to a reservation where if I decide to have a reservation have it linked to a reservation I can just input my reservation information and then this case will be actually tied to a reservation so that was for Ms places on to go back to my deck and we'll move on to the next capabilities so moving on to one of the features we released back uh in May last year in May this year sorry the new uh application for actual agents for providing a way for agents to go about their daily job uh not only on a desktop but now being able to do it via the uh new mobile application so providing them with a way to open cases update those cases view the location on the map uh make sure they can they can look at the cases they're assigned to or cases that are assigned to their group and then easily go about their work so again based on all the feedback that we received as customer started implemented we also came out out uh very suddenly with these um new updates for this uh for this August release in providing more flexibility and more capabilities for the agent to be able to do their daily job so one of these were providing them with a calendar view so really enabling them to view over a week uh the different cases that are assigned to them the job that they need to do week week by week day by day uh and an hour by hour so they can really go through and make sure that they complete all of those we've also added quite a few um enhancements in terms of searching so an easier way to search for cases articles uh tasks but also a way of dividing cases and tasks to make it more flexible for them and really ease of use we don't want them spending hours on their device trying to understand what they need to do they really need to access their uh mobile device view what they need to do uh view the step by step update the case if needed uh add any extra comments uh and then close out the case once it's completed with this release we also added the capability of being able to allow an agent to raise a specific case on behalf of an employee directly from that mobile uh experience so providing them with that extra step of they can now also create those extra cases we then have quite a few new capabilities in terms of Space Management and workplace connectors um the time bound space allocation this is really providing more Flex ility to space banners I mentioned it at the start of the session the way that space management work is really to manage uh the spaces that we have uh or that an organization has uh within their facilities and really understand that perhaps I have on my first floor I have a group of 20 seats I want to assign to a specific project for a certain amount of time after those specific amount of time let's say that's two weeks those desks that project is over they should then move on to a different allocation so having the flexibility to already program those different allocations making sure that once that date is ended the space planner gets notified saying that those that that uh allocation is coming up for expiry then it will move on to a different allocation and this will be reflected also uh within the uh reservation experience so let's say those 15 spaces were allocated for this specific project for the two weeks an employee that's assigned to that specific group can reserve those spaces for two weeks past those two weeks if they're not assigned to the next next um specific uh allocation group they will no longer be able to to reserve those spaces so really providing a way for space planners to go to The Works uh the workspace uh Records but also high level to really Define what spaces should be assigned to allocated to which cost center Department uh entity for which period of time we then have a net new uh capability in terms of we're enhancing a lot on our workplace connectors we understand Within wsd that we don't only have data from our employees interacting uh with wsd not only are uh facility managers looking at how their facility is currently uh laid out in terms of the visual way in terms of the map allocations we also want to have real data shown to both employees and space planners to really provide a better experience for them and make sure that they can optimize so for one it's an employee needs to understand what spaces are available so that's looking at occupancy sensors not just reservation data but it's also looking at environmental sensors so we have this new framework which is uh providing more tables new tables for organizations to be able to integrate their sensors so air quality and temperature for this release we have these tables uh which enable the organizations to connect those types of sensors Define the unit of measure that they want to measure so it could be CO2 level it could be temperature it could be anything that they want to measure having those tables in in upcoming releases will be more use cases around that but for now what we have is those Frameworks to be able to create those Integrations and the way that we can look at why an employee would need to see air quality temperature maybe they want to reserve a space which is not as warm maybe they prefer working where the AC is really cold space planners facility managers might want to understand if CO2 levels are high this will create more maintenance cases something might be broken how can they fix it how can they be proactive how can they visualize all of that information so you'll be seeing in upcoming releases use cases will'll be bringing uh as part of workplace connectors to really be able to um provide some business use cases to these um to this new support for environmental sensors and then last but not least we do have quite a few notable enhancements uh in different uh areas of wsd one of them the location directory location directory uh if you have followed the latest road maps we do have a lot also coming in November what we have done for August is really enhance the experience for the employee making it easier for an employee to be able to access the location directory and have a clearer vision of what is happening on that map so by to this release what an employee could do is open the location directory view the red and green color of reservation data also if an organization had integrated with occupancy sensors would be able to have the information of is a space available and occupied is a space uh not uh not reserved but occupied is a space all of that was shown in red and green what we're providing here is a better color coding to really facilitate the way an employee can V can have a clear visual of the map so understanding uh in different colors not only is a space reserved or occupied but there's is the sensor working uh is that space not reserved and occupied in which case it should not show in the same color as a reserve space really providing a way for them to see more colors and don't worry this is not going to be a map with multiple colors if an employee does not wish for we've also added a lot of filtering options so providing more flexibility for the employee to actually visualize what they want to see choose from the filtering options what do they want to see do I want to only show on the map spaces that are available do I I might not want to see the book spaces I might not want to see the occupancy or uh the other scenario I might want to see every single color to be able to really choose what space I'm I'm going to select to to to to book uh to make my reservation for so really providing that flexibility for them to Define what do they want to see from that location directory we then have an enhancement for the case management so this is really for the facility teams uh making sure that they Define at every single uh service the cut off time that is needed to request that service request it edit it or delete it let's say I'm an employee I would like to create a reservation I would like to request catering uh and I want specific lunch menus if I create my reservation tonight for tomorrow lunchtime this means my delivery team might not have enough time to actually be able to deliver that service therefore by providing the cut off time this is going to enable those facility teams to say if you want that lunch if you want this specific service you need to edit update or request this service two days prior so once that cut off time has uh been exceeded that service will no longer be ail available so let's say I am I'm currently this evening making a reservation for tomorrow the service for lunch is actually available in the space that I'm reserving however when I make my reservation right now for tomorrow that service will not be shown to me because I've exceeded that cut off time so I won't even be able to request that service because my delivery team won't be able to actually deliver it on time for that reservation and all of this can be specified for each uh specific service to make sure that they have enough time to to to request it so whether it's an employee updating editing or requesting these cut off times will be taken into account one thing I do want to know about the cut off time this is applicable for the reservation portal this is applicable for the event planner so same thing the event planner if I drag and drop and that service has exceeded cut off time it's going to notify me that it's I I can't retain it because that cut off time will be exceeded however uh this is not yet compatible with the Outlook uh option of requesting a service so by Outlook I'll still have the option to to request that service and it won't take into account that cut of service I do want to mention that to make sure that we have Clarity on the topic and in speaking about the uh Outlook piece we have done quite a big enhancement in terms of the workplace calendar sync uh application so this is not only for Outlook this can be for the Google Calendar it's really a way of providing organizations that are getting started with the integration that want their employees to be able to not only make reservations via the mobile via uh the reservation portal but also using uh outlook for instance having this the setup of uh the Outlook with uh with wsd was rather complex each specific uh meeting room needed a specific resource so needed a specific email the configuration can be rather complex steps can be missed so what we've done with this release is really provide a guided setup end to end of the different steps that need to be completed uh to validate the connection so this could be as I said via AO via exchange Google really providing guided setup of how can I start this integration to how I can get it completed and this will really show you which pieces are being missed and how the the configuration might not work if some of those items are being missed another enhancement we've done uh for the calendar sync is really providing an easy way to retrieve reservation in case of a scenario where you have a Miss sync so it's easy uh sometimes you might um have an issue with one of your resources where it's not correctly synced we want to make sure that we don't um miss any reservations that might be created so what we've done is really provide a new button within uh the back end to provide a way to retrieve those reservations and make sure everything is always in sync and again all of that will be documented and shared with you um if you go to the community but also on docs all of that will be uh available for everyone
