[Music] good morning all this is Dea Das from product success team of service now today we will look into asset donation flow of Hardware Asset Management this feature is available with the hamro subscription so this is the forward-looking statement of service now which is based on the current information available as part the current release this forward-looking statement should not be used for making any purchasing decision as a part of this session we will look into why to use asset donation flow of ham what are it benefits the driver that is the platform capabilities that enables asset donation then we will look into the donation flow that is the sequence of task that this flow has to offer and then we will jump into the demo Hardware asset donation is a prescriptive flow with a set of standard tasks to donate hardware and consumable assets for you organization to charity organization basically this ham feature provides automation of donation activities benefits of using the asset donation flow as stated few seconds back it automates the donation of assets with standard ready to go donation tasks asset manager can view all the asset donation request in one place which is our ham workpace it helps to maintain accurate document ation of acknowledgement for charitable donations with Washington release of service now you can manage the expenses incurred for the task of asset donation flow so for drivers one should always keep in mind that assets which are identified in the system as in stock and with sub status as spending donation qualifies for donation only and you can donate asset and consumables however you cannot donate a bundle or pallet you can however set the status of bundles and pallets to inst stock and vending donation which basically means it will auto set all the child assets of the bundles or the pallets to the exact State and substate of the bundle and pallet which means all the child assets of the bundles and pallets will be set to pending donation as well which which also means in a bundle asset you can donate the child asset provided the bundle is in stock and in pending donation sub status the same is applicable for pallets as well initially the customer or the asset manager raises a donation order request in the platform describing the donation requirement which will then go for approval to the identified asset manager or a specific group if the request is then approved it will start the Fulfillment process which basically means tasks for fulfiller the first being prepare and schedule where the fulfiller has to prepare identify the asset to be donated and make it ready for pickup then he can make the assets ready for departure and then once the asset is departed and it has been donated to the charity he can then upload the confirmation of the donation in the last task which will then close the enter request now let's move into the demo and see how the flow works in the platform we are now in my instance we are looking into the hardware asset workspace first we need to identify the assets which are in pending donation as well as we need to declare the charity organizations in the system as an asset manager or an owner I will go into my asset estate and then Hardware assets let's pick the assets which are in stock as well as in pending donation okay we have four records in the system which are Apple laptops which are in pending donation substate let's Identify two more laptops or or computers for donation I'll will take let's enable the field first and let's use this to record and set it from available to pending donation okay now we have six records in the system with pending donations sub status basically an asset manager has configured six computers for donation that's how we will interpret this configuration as now let's declare or Define one charity organization charity organization can be accessed from inventory let's create one let's say it's an ngu in Hydra let's give give it some ID let's say high tech City hyad telana India okay and submit okay we have declared the charity organization now say the management of the organization or the asset manager want to donate one laptop to this NGO again one can access the request catalog request from the service catalog or from the service portal it should be under asset life cycle category asset donation order and charity organization let's use HRA one say donate one laptop submit the order is submitted in my other window I have logged in as a fulfiller from asset group so I'm switching over to my other window where I have logged in as a fulfiller OS linen he can access the request by going into inventory and donation orders and this is our donation request now he could see it's waiting for approval he cannot do anything he needs to wait until the request is approved we will switch over to my main window where I'm logged in as an admin and and we'll approve this request now let's go into the workspace donation orders remember approval flow is same as our old catalog process where approvals when generated will shoot a mail to the respective owners in this case this list of people and one can always use the email to approve how however for the sake of this demo we are just getting directly into the approval and approving it from my admin profile say Beth has approved it approved and save so the donation request is now approved switching over to fulfillers view in this window just refresh and we can see the request has moved into the next phase scheduling this is where EMS the fulfiller will identify the asset prepare it and will assign a schedule date for departure to prepare the asset he needs to First identify the assets for which he has to go there under planned asset he needs to click this button add and you could see all six of them available here now let's use one apple and one Microsoft laptop he is just giving an alternative based on maybe the preparation steps or or packaging or many other Factor whichever he later identifies is the suitable way based on that he can take out one laptop and and prepare the one which is more suitable for donation but for now he has given added two asset to be donated now he will go to the task let's assign it to his name first and say pickup contact is proof and the schedule date for departure say 2 days from now and close the task now you could see he has two mark an asset for Preparation which means in this task post identifying the asset in planned asset tab here within this task you will see this tab where he can see those two Assets Now here he can select both of them say he is not ready which one is the less complex device to donate when I say complex okay I'm talking about some pre steps before departure maybe the packaging of it or maybe the one need to wipe out all the software install within the machine right now OS is not sure which one of this laptop will be easily cleaned and can be easily shipped out for donation so he is now choosing both of them to be prepared you'll click here here and both of the asset stage has been changed to prepare now he can close this task okay this task is closed going back to the parent request we could see another task has been generated where the asset that needs to be departed has to be selected remember we have selected two assets for Preparation this is where say OS determines he he can only depart this laptop based on the operational convenience he will select this laptop and click here that means he identified this laptop for departure and the state of this laptop has Chang to in transit now go now going back to the details you will put some some additional detail if he needs to and close the task now you could see system is alerting saying what to do with the other asset so he has to go there and select the one that we are not departing and we will cancel it okay now close the task and one asset has been successfully departed now going back to the parent request we could see the last task has been generated which is for Amos or the person assigned to this activity has to ensure or confirm that the donation has been successfully executed which means the charity organization has received the task and has generated the confirmation how does he do that he has to click here and select and confirm the donation and he needs to have the certification of donation from the charity or from the operations and attach it here and now he can CL the task with this the last step of the donation order has been completed and now the request has been moved to close complete and if you open the donated asset you could see it state has been changed to re and donated here it is you could see the state has been changed to return return and donated with this we have come to the end of this presentation to summarize we have gone through what an asset donation order flow looks like in hem we understood the benefits the drivers of it and
