The Connected Workplace: Best Practices to Embrace the New Normal

hello everyone welcome and thanks for joining today's webinar uh today's topic is going to be around the connected workplace uh we're really going to dive in today to best practices to embrace this new normal today the companies are represented on this webinar is novolo and cask i'll share a little bit more about our two companies but really excited to have this conversation today as states are reopening their offices reopening their stores this new normal requires changes especially to our facilities departments we're going to dive into that today talk about how technology and process together can ultimately help drive as you're transitioning into this new normal in the workplace quick introductions my name is ben pearson i'm our vice president and president of our product marketing group been with navola for about five years and you worked with a number of facilities organizations around the world to really transform how they manage everything from real estate to space to maintenance projects uh to ultimately construction work in a number of other areas so certainly excited to have this conversation today with the folks that have joined with me i have jay park and jay let's do a quick introduction uh thank you very much ben uh my name is shay park i'm a solution consultant uh technology consultant here at cask i've been with cass for just about uh two years now and i've been actually before i was at cask i was actually at servicenow for about two and a half years as a solution consultant on the federal team um so i've been in the workspace for quite a bit and i typically will help out with a lot of these uh you know technical discussions or demonstrations things like that great thanks jay for joining quick agenda today what we're going to dive into i'm going to share a little bit about our casket navola partnership cask is one of our key services partners for novolo and uh we'll dive deeper into that the capabilities of cast's business and how they're helping deliver the novolo software solution built on service now i'm also going to go into the changing workplace what's happening what's going on in the workplace that's ultimately got you guys interested in the conversation today uh to talk more about it and i'd love this to be collaborative by the way there is a chat feature on the right-hand side that you can leverage to be able to ask questions as we go we'll be watching for those questions to come in feel free to ask those we'll field those as we progress and make this interactive i'm going to dive into this concept that novolo calls the connected workplace organizations like gartner call it iwms or integrated workplace management system we feel connected workplace truly defines what the workplace looks like and how we can actually bring these facilities departments together to collaborate and work as a single enterprise within the organization we'll dive deeper into what we mean by that i'll actually provide a product demonstration i should walk you through the solutions that we've developed that are built specifically for the workplace built for your facilities departments and also designed around handling some of the new challenges with the kobit 19 and the reopening of the workplace as employees come back to the office cass is going to provide an overview as well and they'll dive into their pieces as well so just a little bit about the relationship and we think about this the kind of the current state a lot of facilities organizations that i've worked with they're still in a state of i'll call it manual processes when i say manual processes it's everything from spreadsheets to emails to sharepoint sites you name it but basically a portfolio of tools and a lot of cases manual processes that could go through what i call a digital transformation right could move to a single electronic system to manage everything from the space in a building to your real estate portfolio uh to your construction project work uh to your leases around your locations to energy tracking what we've done at novolo is built a native on servicenow solution and leverage partner a partner cask to implement our products to make facilities organizations uh get their job done easier faster smarter and especially address some of these challenges you're faced with with the the new coven 19 situation let's talk a little bit about the connected workplace and what it is so our connected workplace allows a facilities department to bring together all people locations assets and their business services into a single platform and what that means is you think about the life of a building right you think about the life of one of your your sites or your locations i've everything from acquiring that site standing up that new lease or location to managing the space associated with it who's actually occupying that location what's the utilization of that space which is incredibly important we'll dive deeper into that we actually do the demo as we think about reopening the workplace the maintenance of that space right everything from field service management to warehouse and parts and inventory to vendor management and preventative maintenance all covers in the maintenance side of it but on the back side also tracking that lease tracking that sustainability and energy usage all protected by cyber security when you bring these key departments and i think about things like your maintenance team your space department your planning design and construction team environment health and safety your real estate team all of these departments historically that we've seen work sort of in their own silos and organizations the transition that we're seeing is more and more organizations want to bring these departments together because there's incred incredible value when these departments can actually work and share data the the reality is i need that space data when i think about my real estate team right they want to actually understand actual square footage that's being leased out as they think about payments for those lease locations i need to understand the maintenance that's going into my locations right so being able to bring your facilities departments that have so historically worked in silos together drives a lot of efficiencies to the business and ultimately your executive teams have a single lens to look at to be able to report across your facilities departments it's really valuable when you think about that collaboration that coordination that tracking reporting and ultimately it's it's ultimately about that employee experience too that's using your services one thing that i'll share is we are powered on servicenow so the folks that are joining if there's anyone in the service now team you guys we are a native scoped application built right on the same servicenow platform that potentially you're already running today or considering running in the future what's great about that is if you're running servicenow you snap in novolo as a as our workplace connected workplace applications and that immediately gives your your teams access to the other capabilities of servicenow the core infrastructure that scalability that security that reliability the core capabilities of servicenow like that single database like the cmdb novolo's facilities assets live in the exact same place that workflow engine that servicenow uses your facilities departments can take advantage of that as well for things like hr onboarding employee moves across the organization the same self-service portal to engage in support or the end user mobile application to engage for the users that reporting analytics across the platform as well the value of this is it brings all your departments into a single system so you truly can collaborate the reality is facilities is becoming more and more connected as well and i may need to understand it capabilities tied into my facilities and smart buildings as we think about sensor technology smart lighting smart windows doors and building automation systems that are connected to your network so a lot of other value but ultimately we're built on servicenow certified on servicenow and uh excited to uh to share that piece of the architecture with you one of the things that we talk about is how do we ultimately improve that employee or customer experience and by bringing those those departments together by delivering a single enterprise service management solution that's exactly the focus that we're trying to deliver i've seen organizations that basically have 10 to 20 different ways for employees to engage in services and that can be frustrating right i honestly want to give my employees that single amazon experience they go to one place to make that order to make that request and on the back end you know i don't need to know that fedex and ups and the postal service are all involved to deliver that product to my door i ultimately just care that it arrives at my door at a high quality right behind the scenes what's great about this connected workplace is it truly brings together all of these departments it hr facilities your space team the projects team all into a single connected platform there's a lot of value in that for that exact reason and those teams can also collaborate on the back end as well and work together where they previously had been set up in silos the employee ultimately benefits by that that single engagement that single self-service model now what i'm going to do is jay i'm going to turn it over to you and let you share a little bit more about the kind of current landscape sure thank you very much ben so um you know as ben just mentioned when a lot of customers think of servicenow uh they think of i.t right uh but you know this is after all where a lot of customers got their start they had a problem with their it they got service now and they got these great benefits that they realized um and if we go to the next slide this is where a lot of our customers get their aha moment they realize this connected workspace so what does that mean we got solutions like novolo that has been mentioned built directly on servicenow platform is a scoped application it's seamless uh and we have servicenow being that overall platform that a lot of our customers already have and then we have cask who is the implementation partner that can kind of help be that glue to bring all these different things together and this is what we mean by that connected workspace we have solutions um for itsm that a lot of customers already have and then we have a lot of new solutions that nibola brings to the table such as facilities management asset management clinical uh enterprise asset management all these different things can be brought into the equation to really help improve the way your organization does business um everybody can kind of engage on that single platform and as a result improve that employee experience so the folks that are working on it get the employee experience that they want the folks that are benefiting from it so those those requesters that need that service they're also getting that improved experience because again we're knocking down those silos we're eliminating confusion and just creating as has been just mentioned right that that single place where people can go to get that experience that they want i don't want to go around and click 100 different things and this is what all these different solutions can bring to you and then ultimately you get that improved customer satisfaction right so your your end users your customers your employees are happy with what they have um so if we go to the next slide real quick um so that's what we're trying to do here um you know cask is working with nabolo we're both working with servicenow to really build that connected workspace um a quick example with uh you know task has uh a customer it's a large federal healthcare organization excuse me that um we were able to bring uh an i.t solution to them uh we we helped to connect to their it workspace we helped um we helped them deliver consistent quality um work with responsiveness that servicenow can bring to them um they they got that improved analytics uh the reporting that we're able to actually help prove that we were helping to improve uh those services for them as well um and we were doing this in a phased approach right this is a nationwide federal organization um there were a lot of disparate operations happening within this organization and we leverage the servicenow platform to bring all these things together now as we started doing this phased approach uh there was some realization that hey we can bring some other services into this mix um and we brought novolo in uh and we uh showed them the clinical and facilities enterprise asset management solutions and they were really really impressed with what nibola had to bring to the table and so this is a this is a great story right we're bringing these solutions in and they are now operating and it's currently in progress but they are operating in a famous approach to really bring all these different aspects of their organization together on a single platform um next slide so even in just the the past you know couple months that we've been everybody's been you know uh experiencing a lot of changes that are happening in the world around us um we are hearing about major organizations shutting down you know first it was the nba uh then college sports and everybody's really confused as to what's going on uh you know there's a baseball there's uh broadway shows in new york are being shut down uh elementary schools uh were forced to shut down um cities are declaring you know state of emergency people are being forced into you know self quarantine and isolation this is a very confusing and scary time for a lot of folks um and for a lot of organizations it is also very confusing and frustrating and difficult times and um a lot of us have not ever experienced this before and it was very hard for a lot of organizations to try to prepare uh for a situation like what we're experiencing today um task has worked with a number of digital transformation leaders in space and we've come up with a um some major steps and challenges and kind of the way that companies operate and how they should be responding um and we kind of came up with this you know this quick little timeline here right so uh a lot of us uh have already um experienced the react uh we are kind of at the tail end excuse me you know we we we're kind of the tail end of the response for a lot of us and we are really kind of working into the recovery uh what we're going to be having to adapt to pretty soon is the new normal um if you don't have a digital transformation roadmap if you don't have a platform or the applications to help support this um this is going to be a very difficult road um that's just the the honest truth all right um uh it's it's gonna be very difficult to recover um and and this is really what we're trying to kind of have this conversation and and bring these type of capabilities to you um the new normal is going to be um a very interesting time for for a lot of us um if we see if we go to the the next slide so yeah um you know this is the sad reality is this is not um necessarily a unique situation it is a situation that just has not happened uh for a very long time so um natural disasters pandemics other types of states of emergencies these can happen really at any any time and we really want our organizations our customers our our um you know our peers to be able to to react properly to different types of things and one of the things that's going to have to happen is a digital revolution right we're going to have to have um we're going to have to be able to support remote employees we're going to have to change the way that things have been done uh currently and um and and a lot of that is going to require some assistance from um products right solutions platforms etc so um you know the new normal is going to be um something that we're going to have to adapt to uh you know a lot of things are going to have to change uh are we are we going to have to change um you know how how we operate in the businesses uh any any buildings that have cubicle farms is that is that going to be in is that still going to be a thing uh are we going to have to initiate some sort of separation six feet you know desks apart um hallways uh maybe there's going to be a one-way direction for certain types of hallways um and then any kind of communal workspace will probably have to change right so any anytime we have um uh uh like an office kitchen uh or even like a an office like a copy room or something like that things where people are touching things and and and sitting around for a minute um a lot of those things are probably going to have to change and we're going to have to have a plan we're going to have to be able to communicate that plan um we have to manage how we how we operate that and then we're going to have to execute that um and this is where we really want to bring in uh you know the capabilities that nibolo has to offer um i guess uh yeah next slide great thanks jay that was a good overview and you know your your point on the changing workplace is absolutely accurate and you know think the things that we're hearing you know obviously is that preparing of the works of the work space specifically um we think about building access we think about shared space right so for example here in alabama we're going through our first reopening here tonight so tomorrow morning uh retail some retail is going to start opening back up uh they can have a 50 occupancy uh tracking so you know those are things that we need to start preparing for what's our cleaning plans for our buildings right we need to make sure that there's sterilization and cleaning processes in our buildings aligned to for example the world health organization has uh guidance on cleaning procedures what's the new distance between desks right are we going to have people sitting close together are we going to start spreading people out getting that social distancing still as people sit in the workplace set up and align so that's something i'll show you as we look at electronic tracking of that building access right are we going to set up new signage and directions as jay just mentioned it are we going to have directional walkways down the aisles down the uh corridors uh so that people are walking in a single direction similar to what you're seeing right now within grocery stores already today that have been rolled out badge and sensor data being able to actually get badge data into your system to not only know what space has been assigned but who's actually coming into your buildings who's coming into your buildings so i know for example if someone does become affected by the coven virus who else was in that building who did they potentially meet with as we think about conference room scheduling right so these are things that consider shared space also looking at that reducing the number of chairs within a conference room we're seeing organizations pulling chairs out reducing the number of people that are going to be using those shared spaces jay mentioned a perfect example these coffee stations water coolers cafeterias gyms potentially are going to be closed for a period of time as we they you know organizations reevaluate these shared spaces and potentially the use of those or how we make sure that they're safe for our employees as they come back uh into the the office uh from working from home so very important things to consider and you know as we think about technology you think about kind of kind of going back to the original start of this presentation we still have a lot of organizations that we're talking to that are still using printed autocad floor plans that are still using spreadsheets to track things like their space across their buildings the organizations need to look at technology to modernize how they're doing this modernize how they're tracking this information it's going to be incredibly important as we're reopening these office spaces up that we understand this data and can make business decisions around it as well so that's what we're going to dive into as we go into the demonstration today i will pause for a second and see if there's any questions as we go into the demo and we talk about some of the key capabilities as we look at this the future of the workplace this next phase and how connected workplace systems like novolo can ultimately help your organization any questions feel free to use that chat option to post questions in if there are any okay looks like for right now there's no questions feel free to drop those in as we progress but let's go ahead and actually look at real product let's look at how navola works and can help ultimately help your organization so let's dive in let's talk about space first because for me space is one of the key aspects of managing your buildings as you're starting to reopen them over the course of the next you know weeks months uh you know etc going forward understanding what space you've allocated is one thing but understanding space usage is another but let's actually take a look at my floor plan so with novolo i'll just share a couple key data points one it's again native in servicenow so you look and feel is right in service now but we also have built out and developed the ability to actually bring in your floor plans right from autocad so we have a native autocad import capability allowing your organizations to bring those autocad those revits those bim data points right into the system and actually interact visually interact with your space as opposed to printing floor plans and writing names on desks as a kind of the legacy way of doing things so what i'm looking at right now you'll notice this autocad floor plan is loaded and i have occupancy data right here that shows me space let's say there's a question coming let me pause for just one second to see if there's a comment or a question uh the question is is having service now an entry point to this solution or are other itsms usable certainly if you're using steve if you're using servicenow it makes it even easier because we snap in novolo off you go but we can deploy our novolo connected workplace solution without you having the other servicenow modules we can run standalone it still does use servicenow's architecture under the hood but we can hook it into your other itsm systems if you're not looking to move off of those at this time we do have that option so i'll just share that but you could just run navola's connected workplace for all of your facilities use cases as a starting point to your business certainly good good question steve so let's look at this floor plan so right now you'll see assignments i can see where people are allocated where people are sitting you'll notice that i can also see that i've got a group of people sitting together now i may want to readjust this prior to opening my office space i may go ahead and have darren actually slide down we're going to reallocate this space and actually provide that social distancing for my organization now you'll notice that we have the appropriate spacing for my people in my building again this can all be done right now what i'm doing is simulating uh various move scenarios for various space scenarios so we have what's called the scenario planning capability i can also update live so i have both options within our space planner now this floor plan as i mentioned is an autocad floor plan which includes everything from layer data space data and i can turn on and off that space information this all comes in right from your autocad so if you have furniture if you have other things that are coming in from that floor plan it is bidirectional by the way so data also can flow back to your autocad drawing as well it's a native plug-in right into autocad allowing that bi-directional sync of data really powerful and this feature allows you to see everything from work people and also assets on a floor so you can actually visualize data using these native autocad floor plans and really powerful managing things like this so now you'll notice that i have a fairly decent spread out it looks like one other person i want to go ahead and reallocate i'm actually going to move a couple more folks around just to give a little bit more social distance for this building you'll notice how easy that is rather than printing a floor plan rather than rewriting names on a floor i actually can live make these changes and this updates that user's record associated to where their a seat assignment is now what's great about novolo is also we can start bringing in badge data to report on who's actually coming in as we think about the reopening of the workplace right we don't not only want to know what seats have been assigned but who's actually starting to come back in this is going to be a slow trickle approach over the course of the next few months to years as people start potentially coming into the workplace or starting to leverage a more flex work environment now flex work environments are new this has been going on for the course of the last few years as organizations want to try to be more efficient with their space so certainly with novolo we also do support hoteling conference room scheduling from a self-service solution so that not only can organizations manage space this way but they can also manage those flex spaces as well including things like auto triggering sanitation as part of that person coming in or leaving that space so that's one aspect i want to cover first i'll pause for a second if there's any questions on either the floor plan functionality the drag and drop the scenario planning if there's any questions feel free to use the chat for that okay great the next thing i want to show is around our the ability to actually support cleaning rounds so nivola we do have our own mobile application we've actually set up in the product the the world health organization cleaning standards for office buildings so everything from your office cleaning processes circulation area cleaning processes restroom cleaning processes and where are your sanitizing stations on the floor what this does is allows you to now set up things like your sanitizing stations at the front entrance and and places around the building be able to actually set up the actual procedures so right now i've actually brought up a clean sanitizing station procedure here on the screen let's go ahead and actually look at some of the functionality of this so if i'm walking around and inspecting these cleaning sanitizing stations one we can actually take a live feed if the for example if the sanitizing fluids down too low we can automatically kick off a ticket to your facilities team to replenish that that sanitizing liquid but we can also inspect these on a regular basis organizations need to do this cleaning procedures on a regular basis to make sure that they're staying sanitized as i walk up to a cleaning station or a room or an office or a conference room that i'm going to perform cleaning against i can actually leverage the native barcode scanning functionality so if i want to go ahead barcode scan this particular location that i'm scanning you'll notice i can actually scan this barcode it's going to automatically show me the particular location that i'm going to be going ahead and providing that sanitizing process for what's great about this is i truly can validate that someone actually went to that location and actually processed the world health organization procedure checklist so right now i'll start off with this process did i put on my ppe my protective personal equipment i did did you look at visually inspect that actual hand sanitizer and make sure that it's functional did i actually check batteries and change if it needed it did i uh you know clean the hand sanitizer and the floor underneath it was there anything else do i need to order it i can actually place an order if i needed to so with that this allows me then just go ahead and submit this in and i can actually proceed into the next hand sanitizing location that one that's going to give you a simple process that now you can validate is actually being performed you guys have to imagine there will be regulations coming out that we're going to have to prove as organizations that we're actually processing and doing the steps that are required validating things like occupancy validating things like my sanitation processes across my buildings this with novolo we can actually enable you very quickly to have the procedures set up the checklist set up and documentation that now you can show back that you are actually following uh particular cleaning guidelines that you can report back to a regulatory agency i see there was a question coming in let me pause for a second it looks like a couple of them dropped in let me pause and ask those uh so the question is from jennifer can i handle i i assume this is for floor potentially floor plan uploads uh can it handle excel spreadsheets uh or even vizio as where you're going with this uh we jennifer for those uh so a couple things can we bulk load like employee data moves for example we absolutely can so you can bulk load a spreadsheet of data if you have a long list of employees that you want to bulk load in we certainly a spreadsheet is one option we also can do image based floor plans if you don't have those or we can turn a vizio into an image-based floor plan and you can actually polyline on top of that with our floor editor as well so we do support those other types of floor plans and data sets to bulk make changes or even bring data into the system not that that certainly is an option for you and again image-based floor plans if you don't have cad don't have revit or other options in terms of that we can look at those as another option as well jennifer hopefully that answer your question if it didn't uh feel free to to drop that additional follow-up question as well okay great great so that's a quick look at our rounds and stops across the floor again that was a quick inspection for as hand sanitizing location as i mentioned we can also go back and take a look by the way this mobile functionality you're seeing here on your screen isn't just available online it also works offline so if i lose connectivity i can still do all my inspections around my buildings it's a really powerful feature it's a native mobile application that works on both ios and android and it fits form factors like an ipad or an android tablet as well so it's truly native and works online and offline if you don't have connectivity so if i can also look at my office cleaning procedures same story barcode scan the office validate my stops and this doesn't just work for cleaning procedures this can also work for things like firins fire fire door inspections exit sign inspections the traditional more ehs type of inspections as well it's a really powerful feature of our product again those round functionalities uh that you can leverage for your various uh cleaning and custodial services as well okay great uh so that's that's that aspect of mobile i'm gonna jump back in and talk a little bit about a few other areas of the system as well before we move into some q a so you talked about our workplace planner and our plan moves um i want to talk a little bit about some of the other aspects of our product as i mentioned this is all connected all a single system for your facilities department so we can manage everything from tracking your maintenance right what's going on with my maintenance department how much work are they actually seeing coming inbound how much cost is going into these areas as well so maintenance we can do handle that full life cycle of maintenance tracking preventative maintenance uh etc space and move we covered some of this but this is where we are going with those floor plans being able to manage your entire facilities portfolio understand where there's vacant space understand space usage understand the badge data that's coming in who's actually showing up at your buildings who was who was else in the building when they showed up as well your real estate portfolio organizations are gonna it's already starting now organizations are gonna start looking at this space data and now comparing that space data against my real estate portfolio do we need to compress our real estate can we actually bring and compress our real estate coming in coming out of this cobit situation um to ultimately reduce our footprint in terms of real estate real estate is one of the largest expenses an organization has as you can imagine right so if i can actually reduce that because more employees are working from home now or working in a flex work environment we now have the ability to actually track and forecast when are these leases coming due for renewal should i renew them or not what's the occupancy against that lease so that now i can decide should i renew that or not that's where fully connected workplace comes in right being able to correlate that data space usage against my real estate portfolio as an example capital planning be able to forecast those spends as well right it's incredibly important not only uh understand that spend forecast but what devices what buildings need uh we do need repairs or replacements energy tracking is another area that we can do tying into your energy systems and understanding your utility usage right where as we open buildings back up how much electricity water gas are we using for our buildings and is there ways we can actually move toward potentially even being a leed certified facility as an example vendor management allows us to track vendors so if you have outsourced your facilities a lot of large enterprise organizations outsource to the big players the cbres the jlls the cushman wakefields etc or mom and pop shops as well so if you've outsourced those services be able to actually manage those third-party vendor costs maybe you've decided you're going to outsource your your cleaning services to a third-party vendor well let's manage and make sure that they're performing as well and we can do that with novolo and we've actually have a number of large enterprise organizations that are using this system and actually having their vendors come in uh we actually had one of our our customers 7-11 on a webinar yesterday they have all their vendors using this system so they can actually hold them accountable to the service levels for making sure their stores are maintained really important uh hr data with novolo we also tie into servicenow's hr or other hr systems like workday sap oracle and we can actually help drive that automation from employee onboarding employee moves maybe we're changing that employee from an office-based location to their home home location so that tie into hr is incredibly important and lastly cyber security all of your connected devices also need to be protected with nebolo we also have a cyber security application that allows us to track your facilities iot connected devices and automate action if there's a vulnerability or a threat associated with one of those connected systems so you guys that's what we mean when we say connected workplace it's incredibly powerful when you bring these departments together across the entire facility's portfolio that's what we're referring to i'm going to read this point uh jay unless there's anything you want to add looks like there's a few questions coming out i am going to go ahead and open up for some q a here looks like one question here from kim let me answer that first so kim your question is how do you license the solution for maintenance use case does this require both servicenow and novolo licensing so kim all you need is a novolo license actually to leverage our our maintenance solution and our typical licensing model is what we call a fulfiller licensing model the people fulfilling the work the technicians the managers of the facilities teams they're a licensed user there's a subscription model just like servicenow hopefully that answered your question kim okay and if there's more questions on product i'm glad to continue deep diving and doing some more demos but what i'd like to do if there's not any other questions let's go ahead and open up to q a or see if there's any other questions or comments jay is there anything else you want to add otherwise we'll go ahead and open up for q a at this point no i the one thing i really uh uh that you mentioned that i would like to really harp on is as um you know as we move forward a compliance is going to be a big thing um and i think that's one area where a lot of folks um will be overlooking um you know a lot of folks are going to be quick to react and um you know quick to try to put a solution in without thinking about hey um you know this is gonna we're gonna have to report on this we're going to have to be able to show some actual numbers that things are actually happening and um this is a great uh this is a great uh feature that the bull is going to be able to bring to the table right is that you can actually prove that you have all these things in place and it'll a very minimal effort on the organization to be able to do that right you can have a simple print out of your report and just hand it over so um just wanted to reiterate that that's a really important piece of this of this larger puzzle great thanks for that jay you're spot on right uh just using manual paper-based processes to track you know are we are we doing our cleaning rounds appropriately and sanitizing appropriately that's gonna be hard right having an electronic version you can auto report back that you're actually doing and here's the process we followed and when did we do it it's going to be incredibly powerful for organizations including that space data as well great i'm
