we're gonna get started with performance analytics and dashboards and a domain separated environments for some of you probably don't use domain separation but some of you do and I felt like combining the two topics would be a really cool thing to do I was asked by someone how long it takes to put a video together and to be quite frank with you it can be up to a month depending on the subject matter at hand so there's a lot of work to put these together and I try to come up with things when they ask me also you know like what's the one thing that you try to do with your videos that other people don't use it's pretty much what other people also try to do I think anyway that's called with something different or a different perspective topics different platforms so I did get a subscriber request to do actually I got several whole several requests by subscribers to do performance analytics for about the last nine months so finally I'm giving in but I'm going to do something a little bit different and I want to tie in domain separation as you can see here I have my domain picker right here with a couple of different domains I made up some with myself real mayor of Casa tua real mayor prosecutor Kingfisher account and the real mayor of Casa tua and the mayor's customers and we'll get more into that later on and I'll show you domain structure and in other videos and stuff like that if things to look out for with domain separation so what we're looking at here is not a dashboard this isn't really a homepage so what's our clue dealer well it says to create a dashboard version so that'll be our number one clue but like let's say we took this away sometimes they'll be like a little blue button here that says the same thing directly but this is not a dashboard so these are merely home pages here I just wanted to know that there's a lot of people who come to use the - so now we're going to say okay well how do I get the dashboard all right well one thing you can do is you can type in dashboard and what I'll what I tend to do is go to self-service just dashboards and I'll take you to this and it brings us into all these dashboards here and I created a just a couple too that are named SLA dashboard I'm gonna take into this one and before we get started with creating the dashboard one thing I'm going to give you a little unsolicited advice on you're probably gonna want to create a group that can view the dashboard and the reason why is that if you're in domain separation they're really crazy with all the different domains and the way to kind of visualize it when you're working in a domain separate environment versus just a regular single tenant environment is basically you could picture this is kind of like a house and then this is kind of like a condominium where you have many different units within that or families looking for that mess but here is it's really one family living in this house now I know we have access controls but the domain separation is an added feature that in order to make sure that environment is ultra secure does come with a little bit more work I will tell you that from from working in domain separated environments so I created a group and it's called Aspen - word group and the purpose of this group is pretty simple it's going to be able to look at that one of those performance analyst dashboards now we're in the domain separating environment and turn that plugin on the one thing I kind of don't like about the setup here is that we don't have the domain tag on there so I don't know what domain this group nor did I have it in this list view I had to add it myself also company is going to be something that's important also so anyway here we have our group and then what I'm going to do is on the form layout I'm going to add the domain tag so and one thing it's an admin you're gonna want to do is work in the top domain generally unless you're doing domain specific or so global is another one that sometimes you'll be forced to work in because you can't complete certain actions and the top domain you have to do it in plural and I'll show you those some other so what I'm gonna do is I think I made this so now what I'm gonna do is you have domain domain and company here I can't remember which companies that made for which domain but and now right here you're gonna see something that's been calling that's called an override that has just occurred which means that this section or the choosing this form now resides in the top domain and the other one that so I'll show you that in other videos though so that way I thought we had a domain here so [Music] if we can get that to come through maybe did you take oh here it is domain I'm gonna scoot this up maybe I just didn't see it all through this round all right don't see don't I must be hidden here because that nothing so [Music] I could look at the company record yeah so the domain for this is top so basically this will revive the top time probably not where we want to put this so what I'll do is he'll open the record and I'm going to change your domain on this company record [Music] and let's go into that's the real pasta to this one my favorites of mine adding them there so as you can see here we have this domain set up nicely now let's see if our list cooperates here so there we go my company is that an asset our domain for us even though we don't have a domain so and the reason why this is critical and I like why you wasting your time with us the reason why this is critical is because for this dashboard we're only gonna want to have certain people see us so we could use domain SEP solely for that but then you know what if you have a thousand users in that domain you only want to have five see that dashboard so that's not ET right there so now I'm gonna go the actual that works out so I'm gonna open this puppy up leave it's this one here I created something that's called SLA dashboard now the issues that we have here are customer requirement is and here's another way that we can tell that this is pitches we'll have over menu and arrow you have this you have all these little options here I don't believe you have it on the other one yeah oh yeah oh is that plus sign oh yeah and take it easy on this plus sign because you're basically making a personal copy there people do that millions of times and some call like my dashboard or whatever it is so here we have our SLA dashboard if I wanted to I don't do that so I'm gonna start off now this basically this isn't only Adwords basically if you want to edit the reports and stuff like that so one thing I tend to do is add a widget right here I'm gonna make my tile on a Senate when I make it center that tells me later on because I might have a dashboard with like I've had some with up to 150 reports which are probably asking me like why did you make one with so many reports you know it's just what we did that was a requirement probably not good for performance but especially if a lot on a real-time and functional that's a different story so right here we'll have it centered and now we'll follow the interactive filter and now show us when the following right the filter great so now just moved over there wonderful the problem that we run into here is that Rory's gonna have the one with the highest amount of numbers first and maybe that's not what we want maybe we want to see this stuff like you wants you to preach one first so what I'm gonna do is I'm just gonna start adding some reports here before I get to that I'm gonna do is I'm gonna share where that group we made yeah now now you're probably all right now I understand what you're getting now you're gonna share this out with that group in the Aspen dashboard group add that puppy in right there I'm not gonna send the email invitation they can view it [Music] now one of the other things I'm going to do is I'm going to create a different background for this dashboard right so visually when I come into this dashboard I know that I started working on it I think I'm gonna give it a color of black great alright so now I gave it a black background color so if you didn't know you could do that you can click like on the video so you know what I learned something today also this feature right here this apply the quick layout is going to come in handy so now what I'm going to do is to combat this whole and progress always being first thing I create a whole bunch of single scores and I find that those are the best there's really for presenting like a dashboard specially did someone higher up who's not technically because it's just numbers it's all they have to comprehend those numbers because how many times have we been into a meeting and you go into a meeting and you show the head honcho meaning the person that's in charge way up there like the CIO level hey this is what we got going on and it looks like one of those burned down cars or something and you really have to have a PhD in order to understand what's going on so you spend the next like 15 to 20 minutes going over how to read that report so this is why we single scores say hey this is the number right so now I'm gonna start out with and I'm just gonna add these as fast as I can fire [Music] is it really tedious right if I said shouldn't you make them shorter and all that stuff so that way [Music] cancelled maybe pause it pause [Music] [Music] progress so now you remember this little feature right here apply quick layout watch this boom makes a lot easier so if you spent a lot of time saying okay I got this over here like this perfect little square you can get a head start you just do that that way you can make this little square here they can bring up that way that way don't mess with something sides for everybody do something like that so that's not a cool - so with this one maybe I'll keep it down here I don't know I like this guy I like this guy and then I'm gonna add the interactive filter on this video Robert there's gonna be a couple of videos on this stuff so I'm trying to it piece by piece I don't wanna waste your time yeah so a lot of people they're gonna sit there and they're gonna worry about like the breach Lawrence I used to work on a contract where we be evaluated on performance that we get paid based on that components look once it's breached there's nothing you can do about it so in my opinion I'd be like alright well look we get to the bottom of this later if it develops as a pattern that we're just talking about one that's reach worried about it because it's already a dead it's like it's like rotten eggs you can't bring those things back to life so that's just my philosophy on doing these things but I know a lot of other people they really want to have these breeched ones first so sure well we'll get in there wish I move this around like that or move the pause over here now think about it from like a cycle point of view so what do we walk first you probably want I would want the ones that are in progress that are about to push but that's what we have this little interactive filter here right so if I wanted to I could say has breached let's just say not and what I want to do on this one hold on Aaron then I want to do expiring [Music] has reached is false and then you know what I don't think I even launched any new records so I don't think they're so let's just see if we can do something first yes I got today so you see how they stack up all a nice little filter so I hit apply oh and that's another thing I forgot to do right why aren't they responding to the filters I haven't met it oh yeah so now I have to come in here and say well show me a real-time updates not only that this has nothing to do the filter she's gonna give you the the real-time your operation is moving remember if we're in a development environment because depending on when you last cloned down are you open records that's a different different story all together so can I trip no matching records right so what I'm gonna do right now ladies and gentlemen who doesn't want to open up just like a problem record I know that puppy's gonna have some it won't have it on that one that I was looking at but I'll have it on their own so you probably I do [Music] I think I can do like this I've got your supper [Music] there we go got a problem record [Music] [Music] all right so now we have okay we have three that fired so once they're breech time looks like today alright so it shouldn't have reached time today so let's go back to our dashboard here so these are already breached so they're gonna be conditioned out so we do Cecily is in progress [Music] okay so what I need is [Music] there we go there's no three so our three pop up now looks like one already breached let's see also it depends on ya see one breached so that that's why that one popped up and then you have not probably need to look at this over here this is the appropriate set that we have and one thing we'll notice that it opened up in the same window I think what we want to do is probably set it up so that way fly out alright so let's go back to our dashboard [Music] all right so I know that's correct because we only have today so breach today this one breach today and then the SLA is in progress that they all threw on progress so that makes total sense to our filters are working correctly I'm sorry I thought you still had false in there okay so we have our three here then what we could do you probably want to see like how we how I created some of these reports right let's take a look [Music] now memory serves correctly when I created this this was off of the task assaleh table that's correct okay so completed SLA is breached did a table task US LA and then again I'm just doing single score something nice and simple for our cio front there to absorb will do aggregation of count and this really has nothing to do with the performance analytics like we're just using simple reporting here which is great really easy to set up and later what we're gonna do is when I get more complex stuff so there's what we have stage is completed has breached this through simple conditions and it takes us into our lives now I believe that if we do if we go to our properties here [Music] [Music] the property's long cave okay see this one right here open drill that opens to drill down information a new window and now watch what happens when I click on that drill down Savior now let's go back into our dashboard [Music] [Music] generate so now if we want to see us in a separate window well opens in a separate window for us and as you can see here with this table one thing I did for just this table view I put a lot we'll really get fascinated with this concept of average time and I want to tell you right now that is one of the worst things that you can do to yourselves right now because right here the average time we have a whopping three records it's not as if statistical sample number one number two this doesn't span a year so there's no way I can even think about seasonal trends so if you have a seasonal business or in operation where let's say you get a bunch of interns you have a let's say you have a mega organization of like a quarter-million people and you get interns and you you get like 20 I don't know let's just say 2000 times you have a spike at your service desk because you need to create all this accounts you need to understand this the way your your escalator gonna be impacted so that's why I always try to I try to stay away from the average time but people love it and I'll tell you really where you're gonna get hit most with at tubes on your priority twos because to me priority one there's always a clear definition of us these organizations will priority two they're almost never is and you always have like ten records so how are you gonna base average time off with ten records you're gonna have nine of them that one an hour so then your average time is an hour but then you have the tenth one that went like eleven hours or whatever so at that point you're gonna have you're gonna double the amount of time so you're gonna have two hours for record that doesn't make any sense that they don't want people do it that way what they do I always go by percentages try to go by the percentage either made or breathe and then choose a little little chart I see what happened with this chart here what do we have we have our three so looks like it's responding for the interactive filter also we'll see here like who wanted to make it flush here this one just kind of move it up that what kind of nudges and if we want to make these smaller one thing I would do is try to get down the size that I want and then bring the other down to the same size we can do something like this if I wanted to all even yeah you have these arrows here which if I click the up one one point up or it gets bigger I put the one pointing down he goes bigger so I'm not sure what those there is actually feel but now what I'm going to do is I'm going to bring this one up just for just for a quick second right and now I'm gonna get the size of this one to conform so I'm gonna go down here like this right here and then try to bring this back up [Music] that might you trust me you can spend days doing this stuff but like I said if you really want to get that head start use this function right here it's apply quick layout and then also if we want to create a second tab right let's say we don't want all this stuff on the first to have one thing that I'm going to do is the great tab so now we have a second and now maybe the first tab of when a name put this little pencil [Music] [Music] maybe I just want the ones that are in progress and maybe the second one I want to be like complete of escalators [Music] so then again if I came to this tab one thing I'll have to do is in a word to add those go to reports and now if I want to have the ones that are going to complete it I'm just gonna add them again again no big deal because I can format these things I got a head start [Music] we have three here not reached we did not reached all right that way hug through there and then I could always have that they're at the filter that tweakers and if we want to what we can use you can take a look at this week over here [Music] and one of the things that kind of kind of like but I kind of don't like also it's sort of like depends on the perspective this is that let's say I left that dashboard in that condition and then I drilled into one of the reports well let's go back to the dashboard I will see if she left it all with the same format and kind of a half to four and then also so there's no real like save mechanism need to save mechanism here or update the way you left it is the way you're gonna come back to it so if you accidentally kill off some reports here there's no way just to refresh the screen and then come back to a lake and other records like that cause you're hammering out a business rule like they were modifying a business rule and you wanna do an insert and stay there's no way of really - just like reload the train and go back to what this original state was so now one thing I wanted to note was that when you're moving these dashboards the updates one thing you're gonna want to do is we go to properties and also look here so we want to put a loop in here strict rules we can also do great down sources which others that are discussing our video too torches used are not are not used with the actual force themselves to the widgets and will have that will get more into the center on let's see the dashboard tabs here we have those you could also create one here and then one thing we're gonna do when we're about to move this stuff in our update set and here's our update set picker we're going to unload the dashboard so if you remember one of the key things from today is going to be to unload the dashboard before you move at the update set if you don't do that I guarantee all you're gonna have with your two tabs and you're not gonna have anything reports in there so you're gonna want to make sure you okay so let's take a look at our interactive filter here so basically what this does is you have a couple of child filters here and then you put them in two sand filter I think this is kind of handy it's kind of cool like if you want people to have the ability to leverage both I'm not sure what if it really saves on a little safe so to speak and the Nashville dashboard but it was kind of cool so I put this thing together so we can take a look at the child filters do and really simple stuff that I did off the task SLA table a lot of people want to measure stuff off of incident but one thing I find is that companies like to use pause time or pause petitions in their essays I hate using them because well I want the customers experience to be reflected so basically if it takes seven days to do something don't make an SLA of two days like if the customer is gonna experience seven days waiting for something that to me is a true time but you know again one of my philosophies is the customer wants it that's what they're gonna get I'm not gonna fight them on it I'm just gonna do what it is they want done so this is a choice list interactive filter I maybe pad for each table he has revealed out to the task SLA table now here I did multiple them but I can also do select them for her single one foot I could do track boxes of your radio buttons I just did select multiple input on this and then our default value is false and then also if we wanted to apply it to all the tables in the hierarchy a little question longer apply this filter to the entire center table hierarchy after the base parent-child and siblings handles so this probably works well and we have database tables like maybe I'll check these boxes here I don't think it's gonna have any impact analysis yeah so this this interactive filter here is different it's it's date filter so all I'm saying here is this week today or tomorrow and probably a lot of you have never seen tomorrow you use tomorrow well this is a perfect example of where you use tomorrow and I'm glad that the people at ServiceNow actually put in that it's dynamic filter or whatever for the date and I think it's kind of cool that you can do stuff that's going to occur tomorrow so for SLA this works perfectly because Obama help desk manager or support desk manager which I used to be I'm gonna want to know like all the priority ones that might expire tomorrow or today or this week everything that's going on that's really high level and then here I did select pump one foot so if I want to do [Music] two or all three of these awesome like we are at the filter dates so I'm not a special a table we're using the plant at a time fueled to reach time I believe yeah that's basically and you'll notice that that related list the interactive filter days options I want to know do I [Music] pretty simple table field name so let's go back to our original dashboard here so let's just review a couple of things that we learned today all right how to add the reports or widgets reported on to our to our dashboard a little bit about how these reports were constructed also how to share these things to a group and also our configuration tab here how to set the background color and then also apply a quick layout over here that's and then the other key thing was about to move this thing we're gonna move it right now and grab to make sure that in our and our update set we do drop it so maybe I'll do that [Music] properties here and now I'm gonna do on the dashboard message come up with all this stuff so I'm going well so we had to do that before we move it and sometimes at the end of today I'll just use precautionary just to make sure
