on this episode we won't be covering live t-shirts large t-shirts okay the big t-shirts they'll go to a different different show maybe if we go into more detail medium t-shirts gonna try and solve as many t-shirts as possible in the our medium 20 minutes small 10 minutes tiny ones 5 minutes I have to apologize as well for the webcam quality unfortunately technology doesn't let me down a little bit today what else have we got to talk about the EU vs. the virus hackathon that we took part in I'll share some links in the description that was very successful great break organization from the Rango team shout to everyone that was involved in their special shout to James for organizing it but everyone that took part I don't wanna miss anyone and I don't ever list the names here right now obviously this weekend we've got the Creator convert your hackathon from ServiceNow so that's taking place from Friday the 1st of May make sure you tune into live code in happy hour at 10:10 p.m. BST I think and I don't have all the time zone information I'll share the links in the chat check out the ServiceNow community forum for details on that again are shellings in the description look out for the world class wrecking crew will be getting involved in that but right now we're going to move over into the community let's see what we can see what we can see okay should be seeing my screen and we have the GRC community occurred just check if I don't forget to subscribe to the channel as well but 20 subscribers now that's really good had some great feedback from everybody that's been able to tune in and get involved as I say we'd try and keep this to one hour and in try and solve as many t-shirts as possible just take a quick look at the leaderboard I am creeping up there I'll try and get to first place let's see what happens I saw a post they are about the exempt flag okay so I haven't read this since this got quick check on there but I can see this quite a few replies now you notice Angie bees get really active [Music] policy exception overview set an example to flag on the control will skip the attestation business rule ok I mean you've got the answers and this information is possible to find out just by having to click around but let's just check the question and make sure Sanjeev is get any answers he's looking for okay we have this flag exempt by I'm not sure what is the business use of this I know that if issue is accepted an exception needs to be creative it doesn't need to be created policy exception is optional you can just leave your issue you know accepted not solved controls gonna be non-compliant who sets the accept flag what happens if it's checked does it not generate indicator tasks okay you try and answer this how does it get unchecked won't close in an exception uncheck it automatically and move it back to a test it sounds like some jeev answer these own questions if all you're gonna give this a I'm going to say that's a small t-shirt okay and I'm wondering whether my ratings are accurate ten minutes five four a tiny the only reason it's not a five is because the policy exception workflow and can take a little bit of time to just get set up for for the sort of demo purposes let's have a go on this and we'll set a time I said small let's start the timer just get that displayed okay so a few questions to answer it's also copy this into the chat for anyone okay taupey this in and forget to reply who sees this and exception does not need to be created take responsibility before setting undersized in the black I believe the exempt flag also goes to read only as part of the rest of the control when it gets the things like review and monitor etc so in that sense policy exception will take care of it and nothing else would be able to update that flag while it's in monitor and so on we can see that in action who sets the exempt flag yeah this current review monitor state the control yes so because there's quite a few questions on going a little bit in Reverse of answering the question first and then I like to go back and just check that I've answered all the questions so what happens if exempt is checked now so I want to try and say your name we're all going go rinse and car sorry I'm not fake it name so what happens if exemple Frank is check as Gerwin Sankar as stated station I think it also depends what state it's in when that happens does it not generate in the need to check this how does it get unchecked when a is closed when a policy exception request is closed will closes an exception uncheck it automatically and move it back to intestine yes okay so I think it's the workflow that does this let's go in and check we've only got six minutes left so we want to create a policy exception but every time I try and demo a policy exception I find that I've got an issue that's connected to a control is already exempt or I've got a control that's not attached to a control objective and all of these things create a bit of difficulty so if I start the process with a control objective just pick on the first one in my list and then I will create a control mrs. take a quick look this one doesn't have an attestation against it so let's give it an attestation if we create control manually just because this is the quickest way put myself as [Music] and that puts me as the respondent let's save this okay so I've got control now you cannot raise a control policy exception against a control that's in a state of draught we still don't have that issue so one way we can kind of cycle this if we go through the attestation created one attestation okay moved it to a test go to my other stations and take this attestation and say is the control implemented now this when I submit that that will automatically move the control to a state of review it's gone to non-compliant let me just reload that to get the form updated okay so now it's in review its non-compliant and an issue has have been automatically generated due to the assessment failure so I've thought this a few times on the show but policy exception is one area where we don't seem to get a lot of clarity on I think the the use case and the business use and what's the story around it so I try and put this narrative in place the issue has been identified automatically or whatever it might be a manual issue it doesn't really matter where the issue came from but it is attached to a control that has a control objective and what are we going to do about this issue okay we analyze we respond in our response we can't remediated so we are going to accept it which means that I cannot I cannot remediates all've it so the issue will stay non-compliant however the policy exception process is in place for temporary relief so if we create a new policy exception I just realized I'm I'm talking and I have three minutes left on the timer so I need to get and move on quick-quick okay let's see if we can speed things up valid from valid - I've already set myself up for failure I think giving too much information talking too much okay valid from doesn't matter should be in the past valid - let's set this for 9 UK Thomas's 915 I know I'm gonna fail my timer let's just save this policy exception my source is the issue which means it's going to automatically populate the control objective automatically populate the impacted controls now we can request approval which just puts it into the process put myself in as the approver that's the person that's responsible for managing the policy exception now I'm going to jump over the workflow and just a just approve that now okay so any open data stations have been cancelled so if that was in the state of a test it wouldn't have been the an open attestation would have been automatically cancelled okay let's take a quick look at this control you can see now it's gone to compliant still in a state of review because it's in a state of review you can't change this exempt flag okay to read-only so in that sense policy exception is responsible for setting the exempt flag because it was set to exempt the status went to compliant the utter stations were cancelled other questions that we had on here so read-only exception doesn't need to be created yeah business rule what happens if it's checked business rules responsible for it I've got one minute does it not generate indicate ask is if exempt is checked I don't think that's true I don't have it says indicated tasks I'm going to answer this I would say I don't believe the indicator impacted I say affected how does it getting checked when a PA R is closed so what we can do with that if we go to our Y we can close this automatically okay for some reason it says action not authorized it was authorized what happened to the control it's gone back to non-compliant to come back to a test thanks to that business rule and wall closing an exception and check it automatically yes reply ok I've rushed my answer but I had one second on the clock remaining and I think I've answered the question sufficiently we could drill into policy exception and look at the all of the pieces of this however as I said before this is the show where we rate posts on the ServiceNow community using t-shirt sizes I said it was a small I had 10 minutes going into more detail there will definitely be a big t-shirt and I will look to do a separate kind of show on the same channel and talk about topics that require a little bit more detail a bit more time but I want that to be focused right now we're going to move on just going to might take a look at seek questionnaires related to vrm I'll take a quick look at this for Terron but I'm not sure I'm not sure too much about seek off the top of my head so I'd need to really drill into that but so talking about vrm have the singing sick questionnaire integration plug-in installed brought in the following questionnaires we know that since every year there would be updates to the SiC want to understand how this sick core 2021 can be sent to the vendor ok so I can't see stick core 2021 but I do know that this should be related to the questioner template assessment questionnaire template that you wish to send out I need to spend a bit more time looking into that tarrant so if I can oh you know asset I'd say that one was a is a medium need to get twenty minutes on there just see if there's anything else that's screaming no I've got this far previously when I opening an existing issue and look up on the control risk field press new duck I took a look at this one from ke ke Jane and I did ask some questions Priya got involved Priya was helpful apologies you know I asked some questions and let's just pick this one up I'm gonna call this another small t-shirt right give ten minutes on there just reset the timer start timer switch and let's see if we can recreate this so so when I click on the spyglass but from so when I open an existing issue we have an existing issue for PR issue 2008 when I open an existing issue and look on the control risk-filled press new the control risk record opens up and when trying to choose any field values it doesn't allow to select it so it's already specified an entity I don't believe there's a reference qualifier when I looked at this before okay there is a reference qualifier state not retired okay but it doesn't qualify based on the entity selected which could mean I select something that is related to you know here finance management so I have seen you know cases where you want to make sure that if you select the entity that will drive the control risk or when you select the control or risk it updates the entity but let's just see what happens now so I've right clicked and saved and the control risk is up to date in the control objective hasn't changed the entity haven't seen any issue on here it fails when I click on the new button okay so you so it's creating a new control here very strange look okay it's actually pointing to the SM GRC item anything you can see that address Baba is pointing to the SM GRC item table and that table is extended into the SM compliance control table the SM risk risk table this is the root table for controls and risks so when you click new from an issue it's not going to that's why I thought the form is strange it's not actually going to create a control or a risk is creating an item if I submit this it worked right I've created an item so I look at this record let me say that to didn't prevent me from doing it if I just show XML come look at the sis class name SN GRC item is it possible that I can make the spyglass on the entity field grayed out in step 5 so open issue form click on the spyglass if I select the record of this name it was saved but if I go ahead and perform the below mentioned steps the issue occurs click on new click on the spyglass of the entity field a list of records will appear select one of the entity record not allow me to save it that's interesting however I think that the issue even if we solved that issue you're still going to have a problem because you're creating an SN GRC item record you're not creating a control or a risk the the record that you're creating if you create it as an SM GRC item that doesn't really fit anywhere it's not going to be a control it's not going to be a risk it's not really a valid record it doesn't make any sense to do that in my opinion so I think that because the person GRC issue table is independent risk the control risk field is pointing to the SM GRC item table so create this journey this is not really creating yeah that's not really the right path to go because you can see here I've got a control slash risk he's gonna have no work flow against it you can see the state it's gonna get stuck what I would suggest in this case is that when you actually look at this record the list control should have omit anew you shouldn't be able to create a new SN GRC item so that would be my suggestion make sure that anywhere that you access that table is or that that list that you can't create a new record the problem that's being solved here I think almost becomes irrelevant please consider modifying the mist control on essentia see item entire thesis list to ensure that new button I'm enabled Johnny do this once you create control risks I think that's that's fair you know if we fix this you know Kay Jane's going to be able to create invalid records that's not really going to help so I try and solve the the root cause there a change from so helpful it was I said that the sick questionnaire for my next topic I would look at this one I think just because it's vrm and I haven't done much with sick questionnaire I don't know that this is going to be something I can answer to be honest at this stage flying by the seat of my pants I'm going to call it a medium which means we've got 20 minutes on the timer 20 minutes it feels like a long time that questionnaire and that is something that can be done very easily in VR and regardless of whether it's sick or otherwise I'm hoping yeah vendor risk enabled don't think I have see questionnaires in Oh keep track but on the SM GRC item generation table when it's creating a high volume of controls obviously it's creating them it's clearing out the table so is it kind of fluctuates it says it's 70% down then it goes 80% drops back down to 60 you know and it keeps loading up and clearing out so it never gets that kind of total view when you're doing just a smaller number of records in GRC then it's less less obvious but when you've got a high volume of records to create for entity type map in maybe if you map an entity type with a lot of entities to a policy that's got a lot of control objectives etc then you start to see that number really really fluctuate let's hope this doesn't take too long I did say select I did select create they're my data it's not too painful to watch try and keep it a little bit interesting if we just gonna look at emergency self-report manager delicate instead of getting each employee to update their status I wanna just track the status well that's all really possible okay jumping ahead I'll secrete the whole question but I've been asked if it's possible that a manager could set the delegates and then that individual would be able to see the reporters crisis task and amend as required the use case for this is if the manager goes off ill or on holiday a couple of managers have large teams that would like to delegate to pick up this task okay not sure how you'd want to manage to delegate aspect of things but the submit update form widget the server script is where it is determined great well they're from Doug actually help status record is presented I simply added the following at 9:16 to force the view okay did you try using the delegate function you know I mean that's what I was thinking ServiceNow is gone delegation kind of built-in delegation takes care of tasks approvals and notifications out-of-the-box okay we're gonna get a part approvals and tasks well though you've got crisis tasks in emergency self reporting you aren't necessarily managing the task I think we'd need to drill into this one I think it's a very interesting topic that people acknowledge okay we're now 99 percent complete with 1,500 of 3000 files inside just need to have patience I thought by having a timer running that this would create a sense of urgency I think sometimes it does a bit more than that and it creates a sense of panic and maybe I'm not not thinking as clearly as I should be let me know what you think is the timer a good idea does it help create a bit of entertainment so we've got 9 minutes 41 and I'm not actually able to answer the question that I would love to maybe it's the plugins that are the problem if you want to know let's just do this quickly well while we're here if you want to know what we were up to on the weekend the EU virus EU versus the virus org this was last weekend 24th to 26th of April Medi cast is the application that we built on the ServiceNow platform to help solve the issue around knowledge sharing amongst the medical community okay making sure that the knowledge that you get is trusted is trusted from a trusted source and that it's accessible for the people that need it so yeah take a look I'll share the link in the description as well but just while we're trying to kill some time it looks like that's moving on Mehdi cast and the e versus the virus org should be some information on when more you know the winners or whatever but there's 23,000 people that took part across Europe that involve medical professionals involved technical people non-technical people and I think amongst us we found a problem that doesn't seem to be being solved and the it was actually I think quite humbling but baffling I guess is also a word of the fact that the challenges that were being faced with in the hospital even within the same country obviously cross border you might think that could be a problem but even within the same hospital there are some of these problems being faced and you know we come up with a design in the solution that was built on ServiceNow using things like social qa2 to solve that problem and I think you know Tim did a great job and we had a lot of fun as well a lot of hard work this weekend I think we're going to hopefully have a lot of fun I know it's going to be hard work we might go live during the weekend who knows we'll see see how that goes I'm not happy that my sick questionnaire is getting installed correctly I do think and what we can do if it will let me navigate away from the application plug-in page I do think that the answer to the question is not specific to cig anywhere I just wanted to have that content if I go to vendor risk and we look at assessment templates you've got assessment templates which will include things like your assessment metrics which is your questionnaire template and it will include your document request templates so between here you can specify an assessment template and then you can attach that you can see I've got sick for 1720 etcetera what you can do is create a asset and assessment template and we would call this you know sig and in our questionnaire template we would put in here let's say you know I'm gonna do lights cuz I imagine there's less data in there obviously the plug-in is still running let's say it's 2017 we do our sick questionnaire on our template and we just call it sick then we go to assessments and we create a new assessment let me just go back and check the vendors that are selected based on the demo data so sometimes it's not just the application that's the problem for me it's the it's knowing the data that's in the tool in a way that makes it effective to to demonstrate it so we ready got work down here that's valid we can pick on anyone other than workday days my only vendor ok let's go to the poor company this table in fact I'm going to show something off that we learned the other day thanks to Dan dan Critchley and whoever he landed from dock filter yeah so poor company don't filter lower case or filter upper case in this case yeah it's not as relevant because companies doesn't tend to have much in here that filter only so it puts that parameter on there and that can save you performance so if you're accessing a big table then you don't want to wait for the records to load to then go into the list and add your filter you can just go straight to filter really great update well they're the tip misses a vendor okay so I've set up a new company record in here then I should be able to get a vendor now if I save this and I select my assessment template and I forgotten which one it was called sick right so if what they said and then submit to vendor I'm going to contact in there so let's give myself a vendor contact you must have at least one primary vendor contact to be able to submit to vendor it makes perfect sense and try we contact submit that I should get a lovely email but now I will be able to because that vendor has got a primary contact I can submit to vendor and you will see that sick light 2017 has been sent okay sig like 2017 has been sent perfect now I'm gonna cancel this let's imagine that that had been done now my assessment template I can going update this and I will call this sig light 2020 I can see the date has come in now so success yeah it was it was based on data nothing was going wrong but I was impatient so I've updated this now imagine next year is going to be sick like 2020 blonde only one sick questioner can be added to an assessment yes so now if I did a new record to the same vendor and so at the same template okay my assessment template hasn't actually changed if I submit to vendor it's going to send a signal I 2020 now the other thing under vendor risk management depending how you want to do your automation you have got things like tier based submission school based submission okay so in here you might have a rule that says when you're tearing changes send this assessment template that would be pointed to sig sig would have the latest one in there and in that sense you have the ability to update this okay so let's suppose sig will be coming to an end how that would be sent to the vendor instead okay so I'm not gonna be able to answer this quite in 30 seconds that we've got remaining let me just think about how I'm gonna frame this I'm just conscious of that timer I know I'm not gonna make it so right now I have to accept defeat so I've had two successes we have two smalls and one medium tripped me out okay so let's try and answer the question without the pressure of the toiler hi Taryn you can utilize assessment assessment templates which point to the questionnaire the most current see questioner dj1 oh no it will be sake 2020 next year you want to use any existing any existing questionnaires assessments will continue on the existing template existing questionnaire but future ones can be triggered to use the latest under the stick questionnaire on the seek assessment template create a new greatly new assessment template sig and this list select the relevant cig questionnaire from I said it's a great question okay each time you use assessment is how use this assessment if you want change submissions I think you can also do some stuff around timing scheduling yeah repeating assessments okay so you've got repeating assessments in here as well and repeating assessments you set the assessment template if you want to use things like tier based submission rules or repeating assessments these end point to the template did I share this one too sure how're we doing on time we've only got five minutes remaining just not sure to be too that's great okay so I hope this helps hope this is helpful I should answer the question I hope that's useful you're getting a get an instance for free probably can't put custom URL on it because it's not technically a production instance although it will be treated like production from ServiceNow they've guaranteed uptime on there you've got support you've got all the resources really amazing stuff I guess you should all say thank you to Bill and the team but you can't have a custom URL nothing stopping you having a redirect I guess but as soon as you get there it's probably going to revert to your URL where can I get tested any help appreciate it I mean it's amazing that people are coming to ServiceNow now and asking for this you know looks like it's really got construction manager you know I mean the guys looking to get tested and he's come to the ServiceNow community it's out standard I hope hope he's not spoke these name wrong and then I've repeated it you know how to Jeremy and Jeff as well straight in there these guys are so helpful with everything they're going on if you've not looked to the apps and you want to see what's involved there's so much material available now you've even got the suggestion portal with documentation best practices videos webinars if you feel like you can get something out of these apps where you know customers or know organizations that would benefit you know point them point them at the links and see you know if this is something found this from its on LinkedIn things I learned follow the hashtag t il things I learned it's only little tidbits in there what I was thinking is if I use explore delete multiple and also I want to check the developer site check the API reference that was let me just edit this section so looking at the fix script edit this section that record for robot record for rollback this should be on the form by default but you should be checked by default when you execute the fix script you can set this to true and then you've got somehow some information on rolling it back much like the new background scripts that can be rolled back in in London great find I would I want to give credit where credit's due on that so I'll share that link in the description as well lots of information to put in a description afterwards I can't promise it will be immediately if we look at the reference moving on to the original question under server server side looking at glide record delete record and delete multiple I mean first of all difference between well please refer to that's number one so delete record we've done it get here great to see as well the doc site is finally following their own can impact on your ability to solve or answer posts in the expected time frame let's make sure that your you allow your application install to fully complete before you try and utilize it if it says
