arise and we'll do our best to answer them um i'm excited to hand things over to our presenters john dunbar and dave spangler hi everyone my name is john dunbar i'm an i.t i have a nintendo consultant with farah code and i have over 10 years of experience in it i started off doing software development with a company called curry adkins in el paso texas after that i joined the navy and i was a system administrator for the navy for about eight years and uh now i'm working with uh with fair code as a tiny consultant all right well as colleen said my name is dave spangler i'm also a technical consultant with gladfest consulting i've been in the i.t space about 15 years now having done everything from software development to network administration and general server administration i've been with glidefast closing it on two years now and uh love it here with that i'm gonna go ahead and turn it over to john to cover our agenda um yeah so today we're gonna be talking about uh about uh servicenow's safe workplace applications and returning employees to work um kobe 19 is as you know still going on and um it's important that as we think about getting our employees back in the workplace that we do so safely uh i thought that it would be uh good to share some experience that i had uh in the in the navy um with uh kobit 19 and and how my workplace handled it because it was kind of i think it's kind of interesting um we had where i was working in in the navy uh before i i started reading fire code we had um we had a watch floor with uh limited manning we can't just like go and like hire more people or bring more people in and so it was very important that we keep our workplace as sanitary as possible and try and limit the interactions that our workforce personnel had with with other with other uh with other employees with other military personnel and so um so one thing that that uh that our leadership did was limit the people that were passing through our work our workplace um we made sure that we were keeping our workstation sanitary and at the beginning and end of our watches we would sanitize our keyboards and mouses and desk areas and they made sure we were all wearing ppe that that we were anybody that was extra they had working from home if they didn't need to be at work they were working at home um and and they were doing temperature checks and and making sure that we were all safe to come into work before before we came in and that's kind of the same thing that servicenow is doing actually is with these applications and we're going to talk about that um but they have an application for contact racing so in case someone does get sick with the virus that we can figure out who all has been in contact with that person and and try and get them tested and quarantined if possible if necessary um workplace safety management so like i was talking about before like minimizing contact and people passing through if necessary and getting workspaces sanitized health and safety testing employee travel safety employee readiness surveys employee health screening workplace ppe and inventory management and lastly we'll talk about the safe workplace dashboard which kind of ties all that together as an overview so for contact tracing um it's important so that we can minimize the effect of the virus in the workplace we don't want to have someone getting sick and coming to work and supporting that to other people and then before you know it you end up with uh with your whole employees uh being unable to work because they're sick or even passing the virus onto customers so um so servicenow has developed a number of ways that we can contact trace to to minimize the effects of copper 19 or in the future other other pandemics that could occur um so one method that they have is by by checking meeting participants uh so if you've been invited to a meeting and you go there with your co-workers uh servicenow can check this by configuring your microsoft office 365 and scanning calendar dates for meetings and uh the attendees of those meetings um you can also check bad scan data and by importing bad scan logs into service now you can check work shift reservations to see what employees were working in close proximity to each other there's also a way to do self-reported logs so that at the end of the day employees can log all the other employees they've contacted that day and then one one of the coolest things i think about the content tracing that functionality that servicenow has is uh mist systems or cisco dna spaces wi-fi interaction mapping basically the way this works is that you can configure service now to either import data from an excel sheet from using wi-fi access logs or um or you can get that you can configure your access links to download uh so that service now downloads data from them and you can view the access logs to wi-fi and see who has been accessing the wi-fi at the same time as someone else from the same access point and you can use that to determine who has been working together in close proximity to someone who might be infected with the virus um as you might expect some people might find that this um that this violates their privacy or they might find it too invasive so you are going to want to send out a privacy questionnaire to your employees or a consent form to your employees so they can say whether or not they're okay with their data being used for contact tracing um when contact when someone is infected with a virus and the case is created for them in service now a diagnostic request for the different contact tracing methods is generated um in the case the employee doesn't ign doesn't acknowledge the consent form and doesn't consent to contact tracing then um when that diagnostic then that the diagnostic will not be run for that employee um and similarly if uh if another employee is infected then when a diagnostic is run on that other employee employees that haven't consented to contact tracing won't show up as an impacted user however they can be added later if necessary all right moving into uh the workplace workplace safety management application this is all about creating that safe workplace and maintaining distance between people so that we're not spreading the disease any more than necessary uh it accomplishes this through kind of a three-phase approach with social distancing plans uh workspace administration and allocation to shifts and schedules and then sanitation schedules to automate tasks for cleaning between shifts now the social distancing uh it's all about the phased approach to bringing people back to the workplace so you can start out with say a 20 allocation and over time as things improve move all the way up to your 100 allocation and um utilizing the applications you can you can manage you know not only how many people can come in but uh who is is being included in that list of people that are coming into the office um now the actual space administration uh can can be accomplished in a couple different ways your workplace administrators can upload actual floor plans uh these are going to be included as visual floor plans that employees can i'm sorry that can be assigned out to different shifts and schedules so that they can be quite requested by employees these are going to be broken out by the individual workspace and ultimately are used to generate a visual map of the floor that employees can can visually select their their preferred workspace directly it's going to show what's available what's already been selected any that are unavailable due to [Music] close proximity to another one that is active and again it's all tied to the schedules so only ones that are available for that shift are going to be selectable um your shift owners are going to have full access to not only view the workspaces that are available but configure that and assign out reservations directly to employees if necessary otherwise the employees can request their own and ultimately the with with the goal of reducing the spread here we uh we need the sanitation schedules to automate the assignment of cleaning tasks to be performed between shifts uh to make sure that these workstations are staying sanitary and are being properly maintained now in addition to all the workflow and options around selecting your workspaces we do have full dashboard capabilities here it's going to show you everything from the availability of your sites it's going to show you utilization how many people are coming into the office what percentage it is cleaning tasks whether they've been completed or not what percentage are being accomplished on time and on task it's also going to show all of your your reservations for the day for the week for the month and and you can actually create new space reservations and cleaning tasks directly from the dashboard instead of having to go through the the native platform itself to to accomplish those tasks and that's about it for workspace uh so if one of the employees does end up becoming infected with the virus well you need to be able to find out about that uh so that's where health and safety testing comes in so it can be sometimes depending on your healthcare situation it can be challenging finding figuring out where testing is happening when it's happening how you set up an appointment the procedure is for for going to the appointment getting tested and servicenow has uh helped out with that by creating an application where users can go and request testing and then a case manager with your company will review your request and review the your preferred test location and time the type of test that you wanted to take and set you up an appointment and email you the details of that um upon so once once you've gone to your appointment uh you'll next uh of course hear back your test results uh can see that in the next slide for that um so in servicenow you also have the ability to report your test results and um and so uh so on on the test results you can um you can just put what the test result was and uh when you submit that if it was a positive result then the case manager assigned to you um can then create a case and begin the contact tracing process and being able to travel safely is also an important part of responding to cobia 19 so business travel is an important part of a lot of organizations and being able to do so safely is is very important so with employee safe travel application employees can make a request to the company for travel managers can review the request to determine whether the destination is having any kind of um outbreak and um and can determine whether or not it would save to go there also the customer can be contacted and a questionnaire can be given to them to see if how their workspace is handling copy 19 safety if they have any safety protocols in place and the manager can then determine whether or not it would be uh it'd be a safe idea to authorize an employee to travel to the um the customer destination while on travel employees can be requested to conduct daily health screenings and maintain contact logs on the mobile app to help limit the possible exposure to the clients um and assist in contact racing all right well for for uh actually bringing people back um we've got a few applications to accomplish that uh starting with the employee readiness surveys this is going to be before the workspace actually starts to open back up you can send out surveys to your workforce and use them to determine where the employees stand as far as their both their physical and mental health and whether they feel that they are ready to come back to work now this is all done through the survey engine within servicenow the surveys are created from templates but they can be fully customized to whatever questions you need you can add remove modify whatever it needs to be by default your answers to the surveys are going to be tied to the employee record but they can be set up to be anonymous uh depending on the the needs of the organization there now there's a few different ways that we can send out the notifications they can they can go out through an email they can go out through a push notification with the now mobile application uh they can also go out through through other communication channels if you have them i can use slack microsoft teams several others um and then in addition to the surveying capabilities it's going to be a uh you've got a real-time dashboard that's going to show all the information that's being returned whether it's tied to the records or anonymous you're gonna be able to see the results you just might not be able to see you know exactly who is providing them um you're gonna have access to all of your questions as well as the roll up for say you know whether the employee feels that they are ready to come back to the office and uh or i'm sorry employees as an overall roll up to it and just to give you a good overview of where things currently stand moving on to the the actual employee health screenings these are going to be more your day-to-day operational assessments this is going to be your temperature check this is going to be your have you been exposed to somebody that you know that you know was exposed um any questions along those lines now this is another one where it's going to be targeted based on locations so if say your government regulations are different for your different facilities you can customize the questions based on what the needs are of that that particular area now the application is set up so your screenings can be done either by the employee before they come to work or they can be done by a screener at the facility um depending on the needs of the organization and if if a screener is is actually performing the assessment then you've got options as far as being able to say flip back to the entry page for the assessment so you can quickly move through your list of people and keep the questions rolling but in the case of having an employee do a self-assessment ahead of time it's going to be the same survey the same questions but instead of having the options to flip back over a qr code is actually generated which they'll bring with them and a screener can scan that at the facility and it's going to give them basically a yes no whether they were approved to work for the day now obviously the employee is going to know that already based on their their answers to the survey um but it verifies it for the workplace as well and of course just like everything else we do have a full roll up of uh dashboards it's going to show your screening results it's going to show your any denials that have happened the reasons for them how many employees are able to come in as well as some of your your contract contact tracing type elements and then finally once we are back to work we have the workplace ppe inventory management um your ppe inventory management is going to be all about maintaining stocks of say your your masks your gloves and any sanitary type equipment this is going to be this is going to be able to facilitate uh managing your stock across all of your different locations as well as reordering not only from suppliers but also from internal stock houses or warehouses rather to get them out to the facilities your pbe administrator they can they can obviously manually assign ppe out to the different facilities but we also have built-in workflows to accommodate uh automatic reordering based on thresholds so say you get down to a thousand masks at a particular location it's going to automatically spin off a request to to order you know 5000 more from from the warehouse or from a supplier if necessary by default ppe management is set up to be used through the native app but it does also have full capabilities within the now mobile application uh so that you can quickly spin up a request uh for for additional inventory from your phone not having to go through the whole process of getting into servicenow on a desktop and going through the native about to perform your requests um i mentioned the the workflows for automatic reordering they are fully configurable so it's going to give you the default options as far as your thresholds but if you have other requirements or other other conditions for for ordering you can obviously get those built in there as well to fully customize the process to suit your needs and that brings us to dashboards awesome well the safe workplace dashboard is is how servicenow ties up all the things we've talked about so far this is a place where managers can go to um to view the overall picture of the kobe 19 health of the organization um one cool feature uh that i really like about the safe workplace dashboard is that it utilizes something called the global code 19 health data set and what this is is it's a aggregated data from free sources to provide geographic information on um on cobia 19 outbreaks so when you open up the dashboard you'll see a map um that that shows you where the outbreaks are happening around the world it shows you where your offices are located so you can zoom in and see okay what's going on where my where my office is how bad is it and then it also uh details how your organization is doing and so you can kind of compare and see okay like like for my area and and are my employees staying healthy and and so it's kind of a neat tool to to use for that so specifically you can view organizational active cases and cases being investigated and you can also see the results of employee surveys um like they've talked about you can uh employ surveys you can see the results of that see what the overall feeling is of your employees how many what percent are feeling like it's a good time to return to work and and how many feel like they might need some more time um and then there's also a breakout of of four more um tables that you can see and and it shows the employees admitted to the premises versus denied entry um and so you can see overall our employees feeling physically well enough to return to work uh is it do we have a potential outbreak among the employees based on how many people have high temperatures that they're reporting when when they're uh when they're checking in um you can see workspace reservations so you can see how many people are coming back into work and and verify that social distancing is being maintained and and uh you can see the ppp the ppe inventory as well um and so you can make sure that your ppe stocks are good uh make sure that people are uh i mean if the stocks stay constantly high then you're gonna know people aren't using their uh their hand sanitizer or face masks or or what have whatever ppp you have so you wanna make sure people are first of all using it but also that that you're not using it completely up um this would be a good good way to stay ahead on toilet paper shortages for example to make sure that that you always have enough to that your stock doesn't run low and finally you can also see the completed cleaning activate and make sure that employees are cleaning up their workspaces to make sure that they minimize the spread to other employees who who have reserved the workspace after after them great thank you john and thank you dave for that presentation we did get a few questions from the audience so we'll go ahead and read those off um so question number one is how does pricing work for this all right so the uh the the pricing around the safe workplace applications it's kind of a two-tier um you've got the the full safe workspace suite which is a paid application and uh you'd need to work with your your account uh representative to figure out exactly what the pricing is going to look like there but some of the applications are going to be included for free it's going to be the emergency outreach the emergency response management for mobile emergency exposure management and emergency response operations and ultimately these uh these are going to be compatible with paris orlando and the new york releases great thank you dave all right another question in here um where can i go to see details about how to set up office 365 or cisco dna spaces uh yeah so the servicenow product documentation is really great for this and uh they have detailed instructions for how you can configure office 365 to to find those uh those contacts the from the calendar meetings for contact tracing and it also has has great detailed instructions for how you can interface with uh cisco's api as well as the miss systems api for wi-fi contact racing awesome thanks john we have one more question in here um do i need to have cisco or missed systems wi-fi device to utilize the wi-fi contract tracing case capability um so yes unfortunately you do have to have a cisco or miss systems device for the wi-fi contact tracing and you can find a list of the compatible devices on the respective company website for those devices great all right sounds good
