this video provides a scenario of deploying catalog items at scale and demonstrates how to create a catalog item template in the catalog builder you can skip to any of these topics from the youtube description for this video first let's look at our scenario the hr department is planning to roll out a series of benefits for employees working from home in the company's 20 locations each location has its own list of benefits with options that hr may need to change from time to time and employees must enroll themselves via the employee service center or the now mobile app so their request is submitted to be processed by the hr shared services team to make these offerings available in the employee portal the hr director reaches out to the catalog administrator hi beth i've got one of those urgent requests you love sure ted how can i help we need catalog items for 80 benefit requests and we need them in three weeks before the holidays hit wow that's a lot of items really fast send me what you've got and i'll see what i can do you're the best bath thanks normally deploying this many catalog items would take up to 12 weeks of requirements gathering development testing and user acceptance testing beth reviews the high level requirements that ted sent and she realizes that most of these could be simple forms with text and option selections on the other hand there are a few slightly more complex ones that require some data from the employee's user profile but beth has an idea she just heard about the catalog builder and wants to see if it can help her meet this huge request for most of the items all she needs to do is create one template that covers the common requirements and the hr team can build out their catalog items from that template in a safe controlled way this will cut down the development cycle considerably so that the hr team can go live before the holidays now let's follow along as beth creates the template addressing each of the requirements we start by accessing the catalog builder and selecting the create a catalog item template option for the item type we need to select standard or record producer what's the difference a standard item type allows users to request goods services or content and the request is always created in the requested item table a record producer allows end users to create task-based records such as incident records from the service catalog for our scenario we need the catalog items to create requests in the work from home benefit request table so we select record producer now we fill in the template details this is the name and description the hr representative will see in the template list the name and description should describe the purpose of the template now we specify who can access the template in this case only the hr shared services admins note that when you click a tab your changes are saved details provides the fields for the actual catalog item so we'll leave them blank for the item owner to fill in but we do want to make these mandatory which we'll show in a moment for the destination the table is always set to the work from home benefit request table [Music] for the location of the catalog items we need them to be in the human resources catalog so that they'll show up in the employee service center and the mobile app and they should appear under the benefits category [Music] now we select the standard employee questions that must be included in all the items created using this template the only question types we need are text select box and multiple choice so we need to restrict the available options to these by default all options are available so we remove the other ones from the available four list you also have the option of controlling portal settings for our scenario we leave these as is here we can control which users have access to the catalog items we want these items to be available only to remote employees so we select that user criterion for overrides we can allow the item owner to change selected fields in the template in our scenario we don't want them to change the record submission table or the catalog categories or user criteria so we leave those unselected and make the rest editable for the fields that are editable and must be specified we can make them mandatory for the final step we review the template before submitting it we can click any tab to make changes remember that urgent request of course what's the verdict so i used a tool called the catalog builder to create a template that let your team create most of the catalog items themselves i'll give them the catalog builder editor role now so they can get started fantastic and the rest for those your team can start building out the basic elements and skeleton forms i'll then work with them to build out the other capabilities which may require some development outside of catalog builder wow you never fail to impress me beth in our next video we'll
